Our client, a non-profit association with a rich and long-standing history in Canada is seeking a strong Bilingual (English / French) Administrator to provide confidential and efficient executive-level administrative support to the leadership team and departments.
In this role, you will be responsible for supporting activities, meetings, and events company-wide and assisting the boards of other associations with communications and meeting logistics.
Key Responsibilities :
Administrative Support to Managers (40%) :
- Provide administrative support to 6 managers.
- Manage correspondence, documents, spreadsheets, reports, presentations.
- Coordinate travel, prepare expense statements, and reconcile credit cards.
- Schedule meetings, prepare logistics, take minutes, and track action items.
- Handle purchases and invoices.
- Support staffing initiatives and provide bilingual support as needed.
- Act as backup to the Executive Assistant.
Industry Associations Administration (15%) :
Support the other classification associations.Organize Board Meetings and Annual General Meetings.Prepare minutes, reports, and the annual report.Produce a quarterly newsletter and website updates.HR Administration (15%) :
Assist in recruitment, onboarding, and maintaining employee documentation.Draft letters, contracts, and reports.Coordinate training and support HR programs.Research policies and address employee inquiries on benefits and policies.Event and Communications Support (15%) :
Plan and organize company and industry events.Coordinate travel and event logistics.Manage registrations, invoices, and follow-up communications.Order and ship supplies and equipment.Create checklists for event planning.Support to On-Site Team and Coordinator (15%) :
Assist Field Teams and Field Managers with supplies, travel, and event coordination.Track statistics and prepare reports.Support fleet vehicle activities.Qualifications :
Must be French / English bilingual with full professional proficiency.2-3 + years of experience in an administrative role ideally supporting leadership teams.Previous experience working for an associate considered a strong asset.Ability to handle confidential information with the upmost discretion.Excellent written and verbal communication skills.Advanced MS Office Suite skills.Strong organizational and communication skills.Strong problem-solving skills and the ability to work independently.If this sounds like you, please email your Word version resume to Christina Cerra at .
