One of our printing and consulting clients is looking for a Corporate Receptionist / Office Administrator Length : 6 months renewable contract with a possibility of extension Hours : 8 : 30am to 5 : 00pm Location : Toronto, ON ESSENTIAL DUTIES : Reception SupportAnswer and route callersGreet and sign in guests;

maintain visitor logCoordinate and administer visitor badges / cards, ensuring up to date inventory and manage sign-in / sign out proceduresSchedule conference rooms as necessaryMaintain a neat and tidy, professional Reception areaMaintain Reception handbook / guidelinesAssist with the booking of conference room and setup / catering.

Set up and deliver catering for external meetings Includes internal catering requests Office SupportCheck daily that Boardrooms are clean and tidyAdditional check before and after meetings to ensure that they are left in standard configurationClient's will order office and stock office supplies via the established processFleet - Fill copier paper in machine twice daily and place service calls as requiredKitchen, pantries, lunchroom and coffee stations to be stocked daily for coffee and pantry supplies and kept in a neat and organized fashion.

Dishwashers are filled and ran once at the end of each day.Clients manages all incoming and outgoing Canada Post Corporation (CPC) mail, internal mail, outgoing mail and courier packages and courier materials.

Distribution throughout officeDistribution of incoming faxes, and records SupportClient's Records tasks to include - File creation and retrieval, entry and management of Iron Mountain onsite and offsite file activities per Marsh Records Management Procedures and Policies.

Annual purge activitiesPolicy support - Scanning and filing REQUIREMENTS : Presence, polish, professional, personableVery positive / welcoming / FriendlySolid communication skills both written and verbal Ability to be resourceful and proactive in dealing with issues that may arise Ability to organise, multitask, prioritise and work under pressureThis role consists of traditional reception duties, answering and transferring calls, greeting clientslight admin workAssisting with month end (meter reads, activity tracking for receptionist duty) will also be included.

Computer skills are a mustMultitasking QUALIFICATIONS : Minimum : High School EducationMinimum : 1-2 years of Reception and Admin experience.
