KITS is looking for an organized and proactive Office Manager to oversee daily office operations and foster a productive work environment.

In this high-visibility role, you will manage office logistics, coordinate company events, and support cross-functional teams with special projects.

You will also lead event management and execute internal communications, playing a key part in promoting our company culture.

Your contributions will ensure a smooth-running office that boosts productivity, supports company initiatives, and aligns with our overall business objectives.

Responsibilities :

  • Oversee daily office operations, including managing supplies, vendor relationships, and office organization.
  • Organize company events, meetings, and conferences, coordinating all logistics including venue booking, catering, and travel arrangements.
  • Plan and execute team-building activities and other internal events to foster a positive work environment.
  • Manage all event logistics, including venue selection, catering, and accommodations.
  • Lead and manage special projects from start to finish, coordinating with cross-functional teams.
  • Arrange travel for executives and staff, including booking flights, accommodations, and transportation.
  • Serve as the main point of contact for internal and external communications, handling correspondence and inquiries professionally.
  • Liaise with vendors, service providers, and building management to ensure the office environment is functional and well-maintained.
  • Manage special projects and initiatives as assigned, ensuring timely and successful completion.
  • Coordinate and assist with various company-wide initiatives and programs, providing support as needed.
  • Assist the HR department with onboarding new employees, including setting up workstations, providing orientation, and managing necessary paperwork.
  • Support the development and implementation of office policies and procedures to improve efficiency and compliance.
  • Ensure the office environment is clean, safe, and conducive to productivity.
  • Manage relationships with cleaning staff, maintenance personnel, and other contractors to maintain a high standard of office upkeep.
  • Monitor and manage the office budget, including expenses related to supplies, equipment, and events.
  • Prepare reports on office expenses and provide recommendations for cost-effective solutions.
  • Write and submit applications for industry awards and recognitions, showcasing the company’s achievements and culture.
  • Coordinate with relevant departments to gather necessary information and ensure deadlines are met.
  • Oversee office technology, including IT equipment, software, and systems, ensuring all are functioning properly and meet the needs of staff.
  • Coordinate with the IT department or external vendors for any troubleshooting or updates needed.
  • Provide administrative support to executives as needed.

Qualifications :

  • Bachelor’s degree in Business Administration, Communications, or related field preferred.
  • Proven experience as an Office Manager or similar role.
  • Strong project management skills and ability to handle multiple tasks.
  • Excellent written and verbal communication skills.
  • Highly organized, detail-oriented, and able to work independently and as part of a team.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and GSuite would be an asset.
