The CEO, Executive Assistant provides executive support by serving as the primary point of contact for internal and external constituencies on all matters pertaining to the CEO.

The person will need to develop and implement organizational administrative standards and practices.

Assigned responsibilities

  • Accompanies and facilitates the CEO’s ability to effectively lead the organization, including assisting with special projects.
  • Anticipates CEO’s needs in advance of meetings, conferences, etc.
  • Designing and producing complex documents, reports, presentations, and preparing correspondence.
  • Delivers sophisticated calendar management for the CEO by managing an extremely active calendar of appointments.
  • Prioritizes and determines appropriate course of action, referral, or response, exercising judgement to reflect CEO’s style and organization policy.
  • Maintains files, records, calendars, and diaries; arranges and coordinates business travel, meetings and activities.
  • Prioritizes inquiries and requests while troubleshooting conflicts.
  • makes judgements and recommendations to ensure smooth day-to-day engagements.
  • Acts as a coach and mentor to others in administrative roles.
  • Works closely with the CEO to keep them well informed of upcoming commitments and responsibilities.
  • Has a sense of the issues taking place in the organization keeping the CEO updated with observations.

Success factors

  • Expertise : A minimum of 10 years' significant experience in a role of support and advisor to senior management in addition to your administration diploma makes you an expert in the administration field.
  • Organized : You are resourceful and able to execute strategies and processes to complete a high volume of tasks and projects sometimes with little guidance.

You can prioritize and react with the appropriate levels of urgency to situations and events that require quick response or turnaround.

  • Professionalism : You execute with the highest degree of ethics and confidentiality - given proximity to information few others have access to.
  • Computer expertise : You are proficient in the advanced functions of the Office suite (Word, Excel, PowerPoint) and have a facility with computer tools.
  • Language skills : Perfectly bilingual, you are fluent in French and English, both orally and in writing.
