Role

We are looking for two full-time Administrative Assistants to join the Banking and Finance Group in our Montreal office. Reporting to the Partner in charge of the Banking and Finance Department and / or the Director of Paralegals, the candidates engaged in this position will provide administrative assistance to a dynamic team of lawyers, notaries and paralegals and play a key role in supporting high-level transactions.

Primary Responsibilities

  • Open files, communicate with clients, collect information and documents prepare wall ethical memos;
  • Conduct conflict of interest verification research;
  • Coordinate the signing of documents and agreements, as well as markups;
  • Ensure the entry and update of documents and information in I-Manage;
  • Format and compile final versions of documents and assist in the preparation of closing folders;
  • Draft disbursement documents and coordinate with the accounting department (financing, invoicing, margins, etc.);
  • Enter billable hours into the system;
  • Update time entries, manage agendas and planning of meetings / participation in events;
  • Performs other general administrative responsibilities, such as scanning, printing and saving documents and emails, and archiving;

Qualifications

  • 3 years of professional experience in administration
  • Experience in drafting letters and documents
  • Excellent oral and written communication skills in French and English
  • Excellent time management and organizational skills
  • Proficiency in Microsoft Office 365 and Excel, ability to learn new systems and web tools.
  • Proactive, mature, good attitude and ability to prioritize, ability to work under pressure
