ROLE : Academics Manager

PROGRAM : ILSC Junior Camp at UBC

REPORTS TO : Centre Director, ILSC Junior Camp at UBC

CONTRACT DURATION : March to May and August to August , (part-time employment) & June to August , (full-time employment)

DURATION OF JUNIOR CAMP PROGRAM : weeks June to August ,

ILSC Junior Camps is seeking an experienced, qualified, and dynamic leader to manage the successful delivery of our academic English program as part of our international language program this summer for youth aged - years old.

The position will require the selected candidate to reside in residence on the UBC campus during the full duration of the program.

The Academics Manager is responsible for assisting in the successful delivery of the academic component of the ILSC Junior Camp program at UBC to ensure students are placed in appropriate classes, that teachers have required materials, and that curriculum and lessons are interesting and engaging throughout the program to the maximum benefit of students.

This is a key management position and is a combination of an administrative and supervisory role. This is a full-time, fixed-term position.

Due to the nature of the work, your hours may vary and may be irregular. The Academics Manager is required to live on-site at the residence.

Accommodation and meals are included while the Junior Camp is in operation, from June -August , .

Work Schedule and Timeline

The position will begin as a part-time position on March , , and compensation will be on an hourly basis at a rate of $- / hour.

The Academics Manager position will be eligible for a project completion bonus, the details, and conditions of which will be communicated during the hiring process.

Part-Time Hours

August , -August , ( hours per week if required, to be discussed with Director of Junior Programs during last week of program)

Full-Time Hours

The position will become a full-time salaried position from June , -August , . Your weekly work schedule will consist of six days of work per week, with full day off per week.

The weekly salary will be $ / week.

Job Duties and Responsibilities

The job duties of this position include, but are not limited to :

Teacher Recruitment and Training

April , -May , ( hours per week)

In collaboration with the ILSC Vancouver Director of Studies (DOS) and / or Assistant Director of Studies (Assistant DOS), participate in the interviewing and hiring of the teachers for the Juniors summer program at UBC

Planning, Program Inventory and Set Up

May -June , -Part-time

June -June , - Full-time

  • Assist in the setting up of the academic program in advance of students’ arrival and assigning duties to teachers as required
  • Unpack and pack academic resources and materials at the beginning and end of the program and monitor usage, reporting any missing or damaged materials to the Centre Director
  • Plan training program for Junior Camp Teachers
  • Lead academic meetings at the pre-program training and staff orientation, and each morning during the program
  • Lead and coordinate teacher / classroom assignment

Program Management and Academic Administration

June -August ,

  • Welcome the students on the first Sunday of their arrival, coordinating student orientation, providing a tour of the residence and classrooms, allocation of and room check-ins, banking needs, calls home and initial getting to know you activities
  • Assist in induction of students and group leaders into the program
  • Check that classrooms are in good order and equipped with necessary facilities
  • Review student placement tests and assign students to classrooms based on age and level
  • Coordinate teacher’s classroom schedules and curriculum resources
  • Welcome students on the first Monday of each student’s first week, explaining the academic program and expectations and allocating students to groups based on their age and placement test results
  • Create appropriate level / number of classes and assign teachers accordingly based on the : ratio
  • Advise and support teachers in the delivery of lessons and conduct weekly on-site training and professional development sessions
  • Provide teachers supplementary curriculum materials for excursion lessons and project work
  • Observe teachers and provide feedback on performance
  • Ensure the prompt completion of student report forms, certificates, and other academic documentation
  • Replace teachers as required during their assigned teaching hours if another replacement teacher is unavailable or in the case of an emergency
  • Take overall responsibility when the Centre Director is off site
  • In collaboration with the Centre Director and Activities Manager, take responsibility for the maintenance and care of the school building , locking up, lights off, general tidiness, etc.
  • Supervise homework sessions as required
  • Assist the Activities Manager and staff with the activities program as required
  • Collaborate and support the Centre Director, the Activities Manager and Juniors program staff as required

Staff

  • In collaboration with the Activities Manager, support the Centre Director in leading the pre-program staff orientation, ensuring that all team members have a clear understanding of the Juniors summer program, their roles, and responsibilities, and that all staffing schedules have been clearly outlined and shared with staff
  • In collaboration with the Activities Manager, support the Centre Director in monitoring staff working hours and periods of rest and creating staffing schedules

Students

  • Co-ordinate with the Centre Director and Juniors program staff on arrival and departure duties to ensure the safe arrival / departure of all students
  • Manage student and staff welfare and disciplinary issues during the program including student illness and employment issues
  • Monitor and track student attendance during morning assembly, lunchtime and in the evenings, ensuring that homework and lesson times are respected
  • Monitor student performance and satisfaction through student reports, evaluations, classroom records, weekly progress checks, end-of-program questionnaires etc.

Other :

  • Participate in weekly meetings with the Centre Director, Activities Manager and Director of Junior Programs
  • Welcome visitors to the program as required (, third party agents, colleagues from ILSC, language agencies, accrediting inspectors etc.)
  • Assist with staff evaluations at the end of the program

Program Closure

August -August , (possibility of extension until August , -to be determined by Director of Junior Programs, Canada during final week of program)

  • Pack up all program materials and resources at the end of the program and report any missing or damaged materials
  • Conduct post-program damage inventory with school / university authorities

Skills and Attributes

Essential

  • Graduate or Undergraduate in Education or TESL related field / DELTA
  • Experience managing a team
  • Experience of working with children and teenagers
  • Familiarity with ESL materials and curriculum development
  • At least years’ experience teaching ESL
  • Strong organizational and communication skills
  • Bilingualism : English
