About the team you are joining
Reporting to the Assistant Director, Administration, the incumbent will be responsible for promoting a positive office culture and maintaining the overall operations of the IATA Montreal office, while managing the reception, conference center and building maintenance.
He / she will participate in projects related to the layout of offices and leasehold improvements.
What your day would be like
Responsible for YMQ office administration, procedures and communication plan
Manage the office occupancy, rationalization, and synergy of space and parking
Review Administration Policies. Recommend and implement solutions that improve operational effectiveness
Monitor and select various services and vendors under their responsibility.
Lead the planning and implementation of the office maintenance 3-year plan
Actively participate in analysis of actuals and planning the forecast vs budget. Prioritize expenses based on available resources.
Manage IATA's physical security program (access system, video surveillance camera, communication to staff, etc.) and work in close collaboration with Building Security
Manage the IATA's emergency and safety programs (evacuation procedures and team membership, produce reports for Health and Safety Workplace Committee)
Responsible for the update and accuracy of the Montreal Incident Management Plan
Manage and supervise the Reception and Conference Center Staff. Schedule Staffing, train and supervise to ensure accurate, efficient, and good Customer service is provided for both the Reception and Conference Center.
Manage IATA Conference Center planning, sales and operations.
Be the resource person for the management of office development projects and its execution within deadline and their budget.

University degree in a relevant discipline or advanced studies would be an asset.
Relevant experience, particularly in property management, or in a position requiring the management of cross-functional projects.
Excellent interpersonal skills and ability to communicate effectively with internal / internal stakeholders at all levels.
Crisis management skills.
Excellent verbal and written communication skills in both French and English.
Knowledge of Events Management System (EMS), and Access database would be an asset.
