The opportunity
The Administrator, Office Management will ensure that Gildan’s head office operates smoothly and efficiently by managing varied responsibilities ranging from ordering office supplies and reserving conference spaces to responding to employee concerns and directing questions to appropriate staff.
The incumbent is responsible for maintaining the office conditions by arranging necessary repairs, renovations, and facilities management.
In addition, the incumbent will delegate tasks to front desk and other administrative support employees and supervise their activities.
The role
- Train and oversee front desk and other administrative support staff.
- Coordinate and occasionally provide reception relief for staff pauses, lunch break, vacation, and other absences.
- Work with building administration to resolve maintenance and facilities request (temperature adjustments, lighting, cleanliness, etc.).
- Carry and manage keys for closed offices and other areas.
- Place service calls for printers, water machines, coffees machines, etc.
- Coordinate furniture relocation, as well as small or large moves.
- Request parking tickets and monthly passes for Directors and VPs; provide billing information to Payroll.
- Obtain quotations, approvals and create purchase orders for stationery and other office supplies.
- Initiate requests for renovation or construction projects and coordinate service delivery.
- Support contractors onsite during nonbusiness hours to comply with building regulations.
- Process vendor invoices, produce spend reports and maintain costs.
- Ship and track documents, parcels, and IT equipment. Confirm deliveries.
- Receive, unpack, and distribute supplies, equipment, and other correspondence.
- Assist in the onboarding process for new hires (send welcome kits, hardware, schedule meet-and-greets, etc.).
- Together with the Helpdesk, configure and monitor the access control system (security cameras, card readers).
- Partner with HR to develop and maintain office policies and emergency procedures.
- Plan in-house and offsite activities and events (catering, venues, set-up, entertainment, etc.)
- Participate with board-related preparations, including room readiness and security.
- Identify opportunities for process and office management improvement.
Schedule
- 8 : 30 a.m. to 5 p.m.
- Occasional work during non-business hours to support contractors onsite.
- Four times a year, when Gildan holds its quarterly board meetings, may be required to be available at 7 a.m. The schedule for the entire year will be provided well in advance.
May be required to bend, stoop, and stretch for the purpose of filing, lifting, or moving supplies of up to 20 lbs.)

The requirement
Knowledge & Professional Experience
Minimum of 5 years of experience as office administrator or similar role
Attributes

- Ability to work efficiently under pressure and deal with changes and interruptions.
- Proficiency in MS Office (Outlook, Word, and Excel in particular).
- Bilingual : French & English.
- First respondent training is an asset.
This position requires proficiency in a language other than French to support customers, employees or markets located outside the province of Quebec or requiring services in a language other than French.
