About Our Client : Our client, a leading law firm renowned for excellence in the intellectual property (IP) legal sector, is actively seeking a detail-oriented and experienced Trademark Legal Administrative Assistant to join their dynamic team in Downtown Toronto.

This role is crucial for supporting the Trademark team, ensuring accuracy, compliance, and client satisfaction.

Position Overview : The Trademark Legal Administrative Assistant will be integral in managing administrative tasks, supporting legal professionals, and ensuring smooth operations within the firm.

You will prepare and review legal documents, manage schedules, and liaise with clients and other parties involved in Trademark legal processes.

Key Responsibilities :

  • Draft and review legal documents, including correspondence, agreements, and reports related to Trademark matters.
  • Experience with filing Madrid Protocol applications
  • Prepare and file correspondence and associated documents with the Canadian Intellectual Property Office (CIPO) and the World Intellectual Property Office (WIPO).
  • Conduct legal research and assist with case preparation in the IP sector.
  • Coordinate with clients, legal professionals, and other stakeholders to gather necessary information and documents.
  • Manage files and documentation efficiently, ensuring all paperwork is complete and filed correctly.
  • Assist with scheduling meetings, maintaining calendars, and coordinating travel arrangements.
  • Provide general administrative support, including answering phones, managing emails, and handling office supplies.

Qualifications :

  • A minimum of 4-5 years of experience as a Trademark.
  • Must have graduated from a recognized Law Clerk Program.
  • Strong knowledge of intellectual property law, procedures, and documentation.
  • Excellent communication skills, both verbal and written.
  • Proficiency in legal software and Microsoft Office Suite.
  • Exceptional organizational skills and the ability to manage multiple tasks simultaneously.
