The Correctional Services division of the Department of Justice is responsible for the administration and operation of community and custody-based programs and services for individuals in custody and young persons.
Within the Correctional Services core business area there are two programs : community corrections as well as correctional facilities.
Each of these program areas is broken down into closely related activities that have a specific impact on the program's target group.
About Our Opportunity
As the Administrative Assistant (Secretary 2), you provide a full range of administrative and clerical support at the Nova Scotia Youth Centre (NSYC) in Waterville.
As a member of the administrative team, you will assist with other clerical and administrative work as required. In this role, you will support the Youth Custody Manager based at the NS Youth Centre.
Primary Accountabilities
- Drafting correspondence
- Coordinating meetings
- Maintaining a file system
- Mail sorting and distribution
- Records management
- Photocopying
- Maintaining office equipment
- Sentence Calculations, second level check
- Maintain facility petty cash
- Prepares confidential information - staff discipline, grievance
- Uploads information onto JEIN
- Assists with Learn Net database
- Back-up for leave entry onto SAP
Qualifications and Experience
To be considered for this opportunity, you hold a 1-year course in a relevant field (ie business, administration, clerical) and in addition, you hold 3 or more years of administrative experience.
An equivalent combination of training and experience may be considered. You also have effective interpersonal, communication, and team collaboration skills.
In addition, you are organized and can set priorities, and meet deadlines. You complete your work with autonomy, discretion, tact, and sound judgement.
You have excellent attention to detail, and you respect the confidential nature of your work. You have strong computer skills and are proficient in Word, Outlook, and Excel.
You also possess experience with records management systems, and scheduling programs. Previous experience in a correctional service setting or similar environment would be considered an asset.
The competencies viewed as critical to the success of this position includes : analytical thinking, attention to detail, effective interactive communication, intercultural and diversity proficiency, adaptability and flexibility, client orientation, initiative.
We will assess the above qualifications and competencies using one or more of the following tools : written examination, standardized tests, oral presentations, interview(s), and reference checks.

Working Conditions
- Primarily office related work, working standard daytime hours Monday to Friday.
- This is a 24-hour operation facility.

Pay Grade : EC 03 Salary Range : $1,;- $2,;Bi-Weekly
