The Office Coordinator will be responsible for ensuring the smooth operation of our office. This role includes a variety of administrative and clerical tasks, from managing office supplies and equipment to organizing company events and maintaining a welcoming and efficient workplace. The ideal candidate will be a detail-oriented self-starter with excellent communication and multitasking skills.
This role is located in our beautiful downtown Montreal office and is required on-site.
RESPONSIBILITIES :
- Greet and assist visitors, clients, and employees with a friendly and professional demeanor.
- Serve as a liaison between employees and building management for maintenance and facility issues.
- Manage office communications, including phone calls, emails, and correspondence.
- Maintain office supplies inventory and place orders as necessary.
- Oversee office equipment maintenance and repairs.
- Manage office budgets and expenses, ensuring cost-efficiency.
- Support various departments with administrative tasks and special projects.
- Ensure compliance with company policies and procedures.
- Coordinate office renovations and relocations as needed.
- Ensure cleanliness and organization of the office space, including common areas and meeting rooms.
- Foster a positive office environment and address any issues or concerns promptly.
- Sample Management : Maintain and organize the Company’s multiple product samples in the storage areas.
- Shipping Management : Support requests for shipping spare parts, samples and general products according to indications from stakeholders.
