The Work
The Renewal Administrator provides administrative support to the Renewal Specialists and completes the final review of renewed loan files to ensure proper approval and compliance for each renewal.
The Core Responsibilities
- 1. Administration (50%) : Prepare letters / documents for borrowers such as Pre‑Renewal solicitations, Renewal Reminders, Non‑Renewal Notices, Legal Notices, Renewal Agreements, and Confirmation letters within stipulated timelines.
- Accurately process loan renewals in the mortgage system upon receipt of signed documents.
- Update all borrower contact information in the system.
- Gather borrower / property data from various resources to determine pricing for renewal.
- Document all actions consistently in the customer tracking database.
- Post Renewal Audit (40%) : Audit files against the signed agreement, archive required documents electronically, and ensure AML / ATF compliance.
- Review mortgage components (HELOC, broker consent / fees, securitized loans, partner loans, intended nature of business) and verify all documents meet requirements.
- Follow up on deficiencies with Renewal Specialists and obtain proper sign‑off before completing the audit.
- Reporting (5%) : Track all borrower / internally interactions, maintain miscellaneous reports for departmental reporting.
- Other (5%) : Complete additional projects and tasks related to SFR Renewals as assigned, and work team‑oriented to support co‑workers.
