The Coordinator, Administration reports to the Senior Executive Leader and is responsible for the coordination of Senior Executive leadership teamwork and operations.

The role coordinates strategic planning, including tracking and monitoring of strategic priorities, as well as supports engagement with key system partners and other interested parties, representing the Senior Leadership Office within the health system.

The Coordinator, Administration develops and implements work plans including identifying resources as required, develops, briefing notes, presentations and related key documentation, collects and analyzes data, formulates and evaluates options, and recommends solutions / courses of action to support the goals of the various programs and the ongoing needs of the major partners and other interested parties.

The coordinator develops special projects on behalf of the EVP office and sees them through implementation.

What you'll do

Coordinate and implement planning processes and initiatives within the Senior Executive leadership team. Track work plans and project progress according to plan and identified metrics.

Monitor and report on the status of work plans and projects and major barriers encountered. Make decisions and recommendations regarding projects and work plan scope and related changes required to facilitate a successful outcome.

Implement or contribute to the implementation of effective processes.

  • Support the Senior Executive Leader and team in annual work planning contributing to budget development, monitor budgets and core activities to ensure that funds are spent as planned within budget, program objectives are achieved, and work plans are within scope and equitable.
  • Establish detailed project charter, plans and objectives to outline timelines and project deliverables. Execute project plan according to project methodologies, ensure successful and coordinated completion of project components, facilitate consensus with partners as needed and ensure readiness for project implementation.
  • Plan standing meetings and events for the Senior Executive Leadership team including developing agendas, planning speakers, project managing all event logistics.
  • Support the senior leadership tip with special committees in planning and execution.
  • In collaboration with senior executive leader, represent the program at various forums such as meetings, workshops, and conferences in order to share information, seek input and give presentations.
  • Prepare confidential analytical reports, briefing documents, and policies and procedures by researching topics and compiling information to assist senior management team decision-making.

What you bring

Qualifications :

  • A level of education, training, and experience equivalent to master’s degree in a related health discipline, plus a minimum of three (3) years recent related experience.
  • Previous experience in program coordination, strategic planning development and implementation or project management required.
  • Completion of a Project Management Certificate and knowledge of public health an asset.

You have :

  • Ability to plan, implement, and problem solve independently.
  • Strong oral and written communication skills to present and prepare concise analyses, reports and recommendations to multidisciplinary audiences.
  • Excellent interpersonal and listening skills and ability to provide support and direction to a multidisciplinary and interdisciplinary team.
  • Intermediate to advanced knowledge of a variety of computer software programs such as word processing, spreadsheet, database applications, email and internet.
  • Commitment to upholding the shared responsibility of creating lasting and meaningful reconciliation in Canada as per TRC (2015) and BC's Declaration on the Rights of Indigenous Peoples Act (2019).
  • Knowledge of social, economic, political and historical realities impacting indigenous communities and familiarity with Indigenous Cultural Safety and anti-racism and accompanying reports (BC DRIPA, TRC, etc.).
