Profile
The primary purpose of the Receptionist / Office Assistant is to be the first point of contact for visitors to our Mississauga office, while also providing administrative support to the Office Manager and Engineering Project Management Team at De Havilland Aircraft of Canada.
We are looking for a customer focused, high-energy individual with excellent personal presentation and interpersonal skills, strong communication ability (both verbal and written) and a willingness to be adaptable to a changing environment.
You have good initiative and are able to use appropriate judgement in your work, understanding how to prioritize work and adapt when requirements change, or deadlines move.

Duties & Responsibilities
- Reception duties include greeting visitors / customers, maintaining security by following procedures and controlling access, (monitor guestbook, issue visitor badges), routing all incoming calls to appropriate individuals and manage incoming / outgoing couriers & mail.
- Maintaining reception area including boardrooms to ensure they are organized, supplied and presentable.
- Guest Services including meeting facilitation, set up and catering, as required.
- Work in collaboration with the Office Manager on projects and initiatives, supporting projects and other initiatives.
- Assist the Office Manager with office supplies inventory management.
- Assist in the organization and planning corporate events including but not limited to ordering refreshments for onsite meetings, conferences events if required.
- Support the Office Manager and the Engineering Project Management Teamwith Purchase Requisition (PR) creation, PR checklists, approvals, vendor set up, Purchase Order Communication with supplier, invoicing activities in the company ERP system (IFS).
- Perform other administrative or office duties, or projects as required or as assigned.
Education
Diploma in Business Administration, Communications, or another related field is preferred.
Professional Qualifications
- 3+ years or equivalent experience in a reception / office assistant role.
- Experience with Purchase Orders and invoicing
- Experience in preparing documents, reports and spreadsheets.
Skills
- Advanced working knowledge with Microsoft Office (Word, Excel, and PowerPoint).
- Excellent organizational, written, and verbal communication skills with a strong attention to detail.
- Proven customer service experience.
- Proven track record in managing multiple priorities, multitasking, and meeting deadlines in a busy environment where priorities may change quickly.
- Strong ethics and the ability to provide a high degree of confidentiality.
- Able to work with minimal supervision / independently and collaboratively.
- Problem solver.
- Experience with IFS or a similar ERP system is an asset.
