Description

The Global Corporate Events Assistant will provide administrative and project support to the Global Corporate Events team, as well as assist in the development and coordination of events to promote the IMAX brand and IMAX movies.

What you’ll do :

Provide full administrative support including answering phones, scheduling meetings, developing agendas, copying, mailing, preparing expense reports and other administrative tasks and responsibilities

Arrange travel itineraries and book travel as required

Coordinate and schedule conference calls, department meetings, group outings, retreats, etc.including working with vendors, and sending out reminders

Provide support and assistance for meetings, screenings, special events, conferences, etc.

Support Global Corporate Events team through a variety of projects including brainstorming and researching event marketing, promotional opportunities, vendors, concepts, and promotional merchandise

Assist team with the development and execution of internal and external events. Contribute to conception and development of event materials and assist in organizing information for post-event recaps

Provide full pre / post event support (organize event RSVPs, create Sales conference packets, create and update checklists and playbooks, manage promo item and client gift inventory, etc.)

Track and maintain event budget

Research and source restaurants, hotels and meeting venues and update database

Assist with packing and shipping for conferences and events

Attend event / meeting industry conferences, meetings and tradeshows

Maintain and update appropriate contact lists

Maintain and order office supplies

Staff screenings and other company events when needed

What we’re looking for :

Bachelor’s degree in a related discipline preferred

2+ years of experience in an administrative or event planning capacity

Valid passport and a willingness to travel, as some travel to the US may be required

Must have a valid driver’s license and reliable transportation

Stellar communication and customer-focused interpersonal skills, with the ability to interact professionally with members at all levels of the organization, the press, and other external clients

Exceptional organizational and time management skills with proven ability to organize, prioritize and successfully manage multiple and shifting priorities, projects, and deadlines

Passion for movies and events, with a familiarity with overall entertainment industry and marketing trends

Must be comfortable working in a fast-paced, dynamic environment

Creative and proactive team player with ability to engage and motivate others

Tech and Social Media Savvy. Proficient computer skills including MS Word, Outlook, Excel, PowerPoint

Willingness to work outside of usual business hours including evenings and some weekends
