Today is the day to boost your career! Pinchin is seeking a Project Assistant / Receptionist to join our team in Dartmouth, NS Office!
The Project Assistant role will involve contributing to the smooth and effective operation of our Dartmouth office, as well as provide project management system support to a team of environmental professionals in the Environmental Due Diligence and Remediation (EDR) group.
TheReceptionist role would involve handling general office administration and provide support for technical staff. As the first impression of the office and company to visitors and guests, this important role will provide essential assistance to clients and employees.
A Day in the life of a Project Assistant / Receptionist at Pinchin :
- Greeting visitors to the office and answering calls
- Handling incoming and outgoing mail and courier packages
- Coordinating meetings and employee travel
- Assisting in the preparation of proposals and reports under the direction of EDR project managers
- Ensure deliverables are accurately formatted and that quality control forms have been completed by technical reviewers
- Proof-reading deliverables as requested
- Issue letters, reports, transmittals, spreadsheets, appendices (maps, photographs), etc. to clients as required by group protocols
- Co-ordinate timely assembly, printing, delivery of reports, letters, etc.
- Project setups to ensure accuracy of details maintained in company project management system (Vision)
- Receive / process internal samples for lab
- Complete monthly office safety audits, as required
- Assist in filling various chains of custodies for samples
- Assist in generating office expense reports / invoices as required
- Set-up of Teams / Zoom meetings
- Assist with taking minutes as required
- Analyze and verify consistency, completeness, and accuracy of project data
- Assist and or maintain a clean, organized desk and well-stocked kitchen area and supply room as required.
What you bring to the Pinchin team :
- High School Diploma and Secretarial or Administrative Assistant Course required
- Post-secondary education in Business Administration or Business Computer Course or Project Management, Environmental or Construction studies preferred
- At least two years of experience in administrative functions
- Advanced understanding of Microsoft Office products (Word, Excel, etc.)
- Experience using a project-based accounting system considered an asset
- Strong communication and organizational skills
- Ability to multi-task, with high attention to detail
- Ability to complete tasks with minimal supervision under strict deadlines
- Strong interpersonal skills, with an aptitude for working with all levels of the organization
- Current and valid driver’s license with sufficient insurance, and access to a vehicle required
