Position Summary

This position's primary responsibility is providing administrative support to the clients and staff of the evening English Language program within RODS Language Services department, with special attention to attending to clients' inquiries;

inputting data in RODS LINC internal client database; compiling monthly iCARE reports; maintaining PBLA records.

The position requires strong customer service, communication, and problem-solving skills including the ability to respond independently to constant challenges and changes while maintaining discretion and professionalism at all times.

In order to provide effective and efficient services it is expected that the Administrative Program Support works in close collaboration with the Language Services leadership and administrative team.

Required qualifications / education

  • High School Diploma; post-secondary education in Office Administration.
  • 1-3 years of experience providing administrative services in an office setting.
  • Strong technological skills; proficiency in using the MS Office Suite esp. Word, Excel, Outlook, experience working with databases.
  • Proficiency in using a variety of office equipment.
  • Excellent interpersonal, communication, and organization skills.
  • Exceptional customer service, organizational, and time management skills.
  • Excellent telephone etiquette.
  • Attention to detail, and ability to multitask.
  • Proven accountability, resourcefulness, and professionalism.
  • Experience working in a multi-cultural setting.
  • Ability to maintain strict confidentiality as dictated by RODS HR Policies and Procedures.
  • Knowledge of another language is an asset.

Primary Duties and Responsibilities

  • Provide a welcoming environment for clients and staff at RODS Language Services.
  • Act as receptionist for the building in the evening; answer general phone inquiries in a professional and courteous manner;

direct phone inquiries, voice mails, and e-mails to appropriate staff members.

  • Respond to inquiries related to RODS' services, RODS Language Services programming, language and placement tests, etc.
  • Oversee office and equipment maintenance requests for the program.
  • Take care of clients' complete registration cycle, including adding them to and withdrawing them from class lists.
  • Prepare LINC completion certificates; and letters of attendance for students upon request.
  • Create clients' profile in the internal database, update program participants information on a regular basis, input attendance data into the funder's database on a monthly basis.
  • Assist other LINC staff with administrative tasks as related to the program, time permitting e.g. making photocopies; typing worksheets;

making telephone calls, etc.

  • Keep inventory of teaching and non-teaching materials up-to-date.
  • Book interpreters for orientation and parenting sessions, and meetings with clients; book transportation for educational field trips;

keep track of the data for reporting purposes.

Perform other position-related duties as needed.

Work Hours and Salary Level

This is an in-person position. The hours of work for this position are Monday to Thursday from 4 : 00 p.m. to 8 : 00 p.m.

with a total of 16 hour of work per week. The target starting date for this position is August 6, 2024. There is a six-month probationary period for this position.

The annual salary for the full-time position is $36,570.60 $20.84 per hour at Step 1 of Admin Category 1. It is prorated for 16 hour of work per week.

Pay periods are the end of the day on the 15th of the month and the end of each month.
