DUTIES
RRC Polytech is looking for an Administrative Assistant to join the Early Childhood Development (ECD) Research team within the Research Partnerships and Innovation department.
The Administrative Assistant performs a wide range of responsibilities, ensuring effective and efficient management support and assistance to the ECD Research Chair and team.
The incumbent will demonstrate initiative and the ability to work effectively both independently and collaboratively as part of the team, building relationships with internal and external RRC Polytech partners and stakeholders at all levels.
The successful candidate will be detail-oriented with strong administrative, communication, and interpersonal skills. Acting as the Research Chair’s initial contact for issues related to operations and administration, the incumbent will be responsible for preparing accurate and detailed documents and reports, developing and managing electronic documents and files, supporting financial management, managing project timelines, and communicating effectively on topics of varying complexity.
Confidentiality and decorum are required in all aspects of this role. The duties will include : administrative support, meeting and event planning, financial administration and legal contracts, and human resources support.
REQUIRED QUALIFICATIONS
- Formal education in office administration or business; other combinations of training and experience in administration or business may be considered
- Significant experience providing support and performing office administrative responsibilities
- Experience in meeting and event coordination, planning, and scheduling, including tools like Microsoft Teams, WebEx, and Zoom to participate in virtual meetings
- Proficient with MS Office Suite including Outlook, Word, Excel, and PowerPoint applications
- Effective organizational and time management skills, with the ability to manage multiple tasks and projects effectively
- Demonstrated ability to maintain confidentiality and perform duties with tact and diplomacy
- Effective analytical, problem-solving, and decision-making skills
- Excellent written communication skills with the ability to draft, proofread, and edit communications of varying complexity
- Excellent interpersonal skills

- Ability to work independently with minimal supervision and collaboratively within a team environment, building relationships with internal and external partners and stakeholders at all levels

ASSET QUALIFICATIONS
- Experience in a post-secondary Administrative role
- Knowledge of and experience with Science of Early Child Development resources or knowledge of and experience with implementing the Abecedarian Approach
- Experience working with different levels of government (e.g., provincial / territorial, federal, Indigenous, municipal)
- Experience in working with education, health, or social services
