Business Analyst & Project Manager

Location : Remote, Western Canada

Position Overview and Summary :

Microserve’s internal Operational Excellence Team is growing, and we are looking for a Business Analyst / Project Manager to join the team! Your primary focus will be to work with business unit stakeholders to revolutionize processes, procedures, and performance reporting to improve the effectiveness and efficiency of our organization, while managing the internal projects that support our operations.

This is a remote role with potential for site visits (Depending on candidate location)

Key Responsibilities

Support process, system, and internal initiatives (%) :

Lead definition, development, and stewardship of process-based approach to support business operations :

  • Participate and / or lead documentation and analysis of current-state process, design of future-state process, and gap analysis
  • Interview business unit SMEs to gather requirements and document key information about procedures, tool usage, and consistency with defined process
  • Craft process documentation that can be consumed at all levels within an organization
  • Ensure documents are kept up-to-date and available to stakeholders in Microserve’s centralized repository

Management reporting, governance, and process performance :

  • Analyze data to facilitate root cause analysis, monitor KPIs to evaluate performance against targets, communicate results, and address gaps as required with stakeholders
  • Report to management and executives on gaps in operational performance, and make tactical and strategic recommendations that will bridge gaps, leverage business capabilities, and take advantage of opportunities that sustain and scale operations
  • Proactively communicate results, issues, risks, constraints, limitations, and any assumptions to management in summary form
  • Ensure that policies, standards, and guidelines are followed, recommending changes to policies, standards, and guidelines if appropriate
  • Align top-level business goals and objectives across business units and teams, maintaining cohesion and line-of-sight both top-down and bottom-up

Design, implement, and test future state processes and solutions :

  • Assist teams with future-state definition, providing guidance for solving process problems that enhance accuracy, speed, and cost-effectiveness
  • Validate future-state solutions and analyze impact of change with consideration to organizational structure issues
  • Implement and monitor process improvements for optimization and continuous improvement
  • Test new procedures and systems against control plans and use problem and change management processes to address control plan failures
  • Monitor future-state process effectiveness to ensure processes continue to support our business objectives; frequently re-evaluating implemented solutions to derive additional value
  • Direct the implementation of business solutions to ensure our teams are prepared for changes including communication and training to users

Manages all aspects of the project and other internal initiatives as required :

  • Develop project charters and plans, in collaboration with business units to ensure the success of each improvement project
  • Manage project work as planned to ensure deliverables are accomplished and objectives are met
  • Regularly update project plans and report project status to project sponsors, project teams, and the Operational Excellence team.

Identify barriers and mitigation plans.

  • Coordinate and follow up on tasks and assignments within cross-functional process improvement project teams
  • Advise and guide internal stakeholders around project barriers and make recommendations to mitigate risks. Act as a key contact and communication facilitator between internal departments for process initiatives
  • Organize, facilitate / lead, and participate in business process workshops with stakeholder groups

Qualifications and Requirements :

Requirements :

  • 2+ year(s) of work experience in project management roles
  • 3+ year(s) of work experience in process improvement
  • LSS GreenBelt
  • Lean, Six Sigma, Agile, or Process Methodology experience
  • PMP or project management designation
  • PROSCI
  • Managerial reporting experience
  • A university or college degree (or 5+ years of relevant work experience)
  • Proficient with O including Teams & SharePoint
  • Capable of juggling multiple projects simultaneously
  • Flexible and adaptable. Able to work in ambiguous situations
  • Exceptional written, verbal, and interpersonal communication skills
  • Experience in developing project plans and managing projects end-to-end
  • Ability to set schedules, deadlines, milestones and work / project timelines to support delivery of assigned projects

Desirable :

  • Formal Business Improvement accreditation (Lean-Six Sigma, CBAP / CCBA / ECBA, CBPL / CBPP / CBPA)
  • PMP / CAPM or equivalent designation or certification
  • ITIL
  • Experience working with ConnectWise is an asset
