Job Title : Administrative Support
Report To : Executive Director
Placement Type : Contract (est. 6-12 months)
Work Location : Downtown & onsite
Hours : Monday to Friday, 8 : 15am - 4 : 30pm
Compensation : $25 / hour
Environment : White collar, professional, government office.
Responsibilities :
- Manage and coordinate complex calendars for managers / executives, including scheduling meetings, resolving conflicts, and prioritizing requests
- Monitor, action, and track items through ARTS (Action Request Tracking System), ensuring timely responses and accurate status updates
- Review incoming action requests, correspondence, and briefing materials; route appropriately and follow up as required
- Enter, update, and maintain accurate data in ARTS and other Government of Alberta systems
- Track deadlines, service standards, and approvals related to ARTS files and calendar commitments
- Prepare, format, and distribute correspondence, agendas, meeting materials, and reports
- Provide general administrative support, including filing, records management, and document control in accordance with GoA policies
- Liaise with internal and external stakeholders to coordinate schedules, gather information, and support action requests
- Maintain confidentiality and handle sensitive information with discretion
- Support office operations by responding to inquiries, managing shared inboxes, and assisting with ad hoc administrative tasks as required
