Events Coordinator
Job Summary
The purpose of this position is to manage and assist in creating high impact events at Woodbine and Mohawk Racetracks that attract new audiences, elevates the experience of our core customers, increase on-track attendance, provide an exceptional guest experience that leaves a positive imprint and ultimately translates into increased revenues for WEG.
Key Accountabilities
- Assists the event planning process, including organizing and executing all Woodbine and Mohawk internal and external events to meet specified objectives.
- Provides strategic direction to internal departments throughout the entire life cycle of the event planning process (target customers, key messages, etc.
and implements initiatives that support the strategy and attract new business.
- Liaises with operational departments within adequate timeframes to ensure all required support is in place for superior execution.
- Leads meetings with various department stakeholders to provide the overall vision of each event and support in operational execution
- Ensures deadlines and budgets are adhered and recorded within the appropriate accounting cycle.
- Seeks out opportunities with external organizations or potential partners that will help to elevate the on-track guest experience and engage our desired target demographic.
- Builds relationships with external suppliers and facilitates in the communication for event days.
- Leads the event performance evaluation, summarizing results and support from relevant teams while sharing results and best practices.
Presents information through post event debriefs and financial analysis.
Simplifies and continues to improve the event planning process so that it’s efficient, timely, collaborative and guest focused.
All event details should be communicated to all the necessary departments and organization through a detailed production schedule.
- Ensures all insurance, permits, legal and health and safety requirements are met
- Assists with the execution of Guest Experience programing, training and department events. Provide direction to the events coordinator to develop talking points and memos for all events and campaigns to help elevate the guest experience.
Knowledge and Education
- Must be proficient in Microsoft Office
- Understands the role of internal departments, how they impact the approval and can work cooperatively with them to ensure successful execution of marketing initiatives
- Demonstrated ability to achieve program or project results as per Events Plan
