Making Memories, One Event at a Time As an Events Coordinator, you will work closely with external vendors, venues, and suppliers to deliver an exceptional event experience for our various Dealer and Corporate events at Home Hardware Stores Limited. This role requires a critical thinker who is well organized with outstanding time management skills and is experienced in assessing event metrics and surveys. Led by the Manager, Corporate and Dealer Events, this opportunity will suit a budding events professional who is passionate about creating unique experiences, well-run events, and is committed to providing excellent customer service. Ready to make an impact in a new role? Here’s how :

  • Support the Event Specialist with the planning and execution of major conferences and events, such as Homecoming, Dealer Retail Symposium, Supplier Partnership Meetings and Dealer Regional Meetings.
  • Liaise with internal and external vendors (i.e., AV, catering, decor, and staffing teams) to prepare quotes, RFPs, financial estimates, BEOs and floor plans for the assigned events.
  • Maintain registration pages for the assigned events. This includes registering Dealers & Suppliers for various events, pulling attendee reports and information, and gathering post-event data for analysis.
  • Process approved invoices for payment via DocuSign and neatly maintain financial documents including estimates, invoices and supporting documents.
  • Act as the onsite contact for assigned events, including coordinating deliveries, vendors, event set up, venue management, signage, and event volunteers.
  • Take and send working group meeting minutes for assigned events.
  • Support occasional team / staff events.

We’re looking for :

  • Completion of a post-secondary education in Event or Hospitality Management, with three to five years of event planning experience.
  • Experience with planning events independently (golf tournaments, annual general meetings, galas / award shows, etc.). Large scale conference experience is an asset.
  • Superior communication skills – both written and verbal. Ability to adjust communication style to various levels of stakeholders.
  • Very well versed with Microsoft Word, PPT and Excel.
  • Must be a hands-on self-starter with the ability to manage multiple events and shifting priorities.
  • Strong ability to work as part of a team and independently with great interpersonal skills.
  • Bilingual (French) is an asset.
  • Experience with Adobe Illustrator, Canva or graphics creation is an asset.
  • Ability to work with interruptions and with minimal supervision.
  • Ability to work flexible hours including evenings, weekends, and holidays, as required.
  • The ability to be onsite three days a week at our corporate office in St. Jacobs, to accommodate our hybrid working model.
