Hays Specialist Recruitment has partnered with a real estate organization located in Ottawa, ON. We are looking to hire a receptionist to join their team on a contract basis of 3 weeks, which has the possibility of extension.
This candidate will be working from their Downtown Ottawa Office on a full time basis.
Key Responsibilities :
Financials and Invoices :
- Review and resolve invoice referrals / escalations through Ventura.
- Code AP invoices to ensure correct cost center accounting classification.
- Respond to vendor inquiries regarding invoicing-related matters.
Front Desk Management :
- Draft and issue client communication memos.
- Manage visitor check-ins and maintain visitor logs.
- Perform reception duties, including answering phone calls and assisting customers.
- Handle shipping and receiving tasks, including printing labels.
- Coordinate catering services as needed.
- Stock weekly snack and drinks orders.
- Receive computers and accessories and pass them to the IT department.
Qualifications :
- High school diploma or equivalent; additional education or certification in office administration is a plus.
- Proven experience as a receptionist or in a similar role.
- Strong organizational and multitasking abilities.
- Excellent verbal and written communication skills.
- Ability to work independently and as part of a team.
- Attention to detail and problem-solving skills.
- Office environment with minimal foot traffic.
- Regular interaction with vendors, clients, and internal staff.
