Hays Specialist Recruitment has partnered with a real estate organization located in Ottawa, ON. We are looking to hire a receptionist to join their team on a contract basis of 3 weeks, which has the possibility of extension.

This candidate will be working from their Downtown Ottawa Office on a full time basis.

Key Responsibilities :

Financials and Invoices :

  • Review and resolve invoice referrals / escalations through Ventura.
  • Code AP invoices to ensure correct cost center accounting classification.
  • Respond to vendor inquiries regarding invoicing-related matters.

Front Desk Management :

  • Draft and issue client communication memos.
  • Manage visitor check-ins and maintain visitor logs.
  • Perform reception duties, including answering phone calls and assisting customers.
  • Handle shipping and receiving tasks, including printing labels.
  • Coordinate catering services as needed.
  • Stock weekly snack and drinks orders.
  • Receive computers and accessories and pass them to the IT department.

Qualifications :

  • High school diploma or equivalent; additional education or certification in office administration is a plus.
  • Proven experience as a receptionist or in a similar role.
  • Strong organizational and multitasking abilities.
  • Excellent verbal and written communication skills.
  • Ability to work independently and as part of a team.
  • Attention to detail and problem-solving skills.
  • Office environment with minimal foot traffic.
  • Regular interaction with vendors, clients, and internal staff.
