Compensation Range : $7,622.83 - $11,886.67 CAD Monthly

In the normal course, employees will be hired, transferred or promoted between the minimum and midpoint of the salary range for a job.

Job Description Summary :

This position works on the strategic development, assessment and implementation of initiatives to advance the Faculty of Management mission.

This position will provide leadership to the academic and administrative units across the Faculty to ensure integration, communication and execution of the Faculty's strategic priorities.

In addition, this position is responsible for providing administrative leadership and strategic management in all areas of administration and operations including human resources, financial planning, resource allocation, space management, health and safety, IT and communications for the Faculty of Management.

The overall goal of this role is to ensure that the Dean's vision, strategy, priorities, and objectives are effectively communicated, supported, and advanced.

Organizational Status :

This position reports directly to the Dean and works closely with Associate Deans and other members of the leadership team.

This position works closely with the faculty, as well as the offices of the Provost and the DVC, Deans' offices and administrative leads across the UBC system, administrative leads at international partner institutions, various community partners, industry officials, and government representatives.

Work Performed :

Strategic Initiative Leadership :

Guides the development of strategic initiatives that are complex in scope, impact and diversity of stakeholders recognizing the significant long-term importance and consequence to the Faculty.

Builds on the Faculty's strategic plan, vision, values and goals. Prepares and develops action strategies in support of the efforts of the plan to embed the vision, values and goals in the daily operations of the Faculty.

Leads project planning; provides solutions; manages, develops and executes identified goals, priorities and objectives from inception through completion in keeping with the strategic directions set by the Dean.

Provides support to the academic and administrative units and promotes the alignment of strategic goals and initiatives across the Faculty.

Fosters relationships with key individuals and stakeholders to enhance alignment and integration of the Faculty activities with other Faculties and units of the University.

Investigates, analyzes and makes recommendations to the Faculty of Management leadership team regarding important strategic and policy issues.

Identifies and develops strategic international and domestic partnership opportunities and other non-credit programming that help achieve the Faculty's strategic objectives.

Liaises with the Office of the President, the Offices of the Vice-Presidents, the Office of the Provost, the Office of the University Counsel, the Deans of the Faculties and other internal and external groups, as required.

Works closely with the Associate Deans and other members of the Faculty's leadership team. Advises and serves on relevant Faculty and campus committees as appropriate.

Administrative Operations Leadership :

Provides leadership and direction including developing, planning, recommending and implementing strategic plans for administrative and financial efficiencies to maximize effectiveness in support of the vision and goals of Faculty of Management.

  • Provides functional advice to faculty members with responsibilities of the Head to ensure Faculty frameworks for supporting the strategic planning and management of faculty recruitment, retention, promotion and professional development are in place;
  • Manages the Faculty's operational staff, including performance management, grievance meetings, workplace conflicts, and other matters which require diplomatic resolution, and involve union or association representatives as needed;
  • Develops, reviews and, as appropriate, signs contractual agreements on behalf of the Faculty. Serves as security administrator for the Faculty;
  • manages and authorizes all system access levels; administers and supervises existing internal controls; Develops processes and procedures to support realization of human resources strategic plans (outlining succession planning, fostering professional development, enhancing overall workplace satisfaction, and facilitating recognition of accomplishments);

Establishes strategic and operational frameworks to support infrastructure decisions, including space use, to meet operational requirements and resolve discrepancies or conflicts.

Budget and Reporting Management :

  • Oversees resource allocation and use to ensure operational decisions follow the strategic direction of the Faculty and are consistent with UBC policies and procedures;
  • Develops recommendations for overall budgeting and planning in conjunction with the Dean and Finance Manager; assesses alternatives and consequences;
  • assesses impact of surpluses / deficits and reviews variances; ensures cost effectiveness of expenditures; develops short- and long-term strategic resource plans, projects and forecasts;
  • Manages online budget systems; manages online processing (oversees internal controls, processing of financial transactions);
  • implements new financial processes and internal controls to improve efficiency of financial workflow within the Faculty;

Develops proposals to secure funding for long-term strategic initiatives.

Performs other duties as required.

Consequence of Error / Judgement :

This position represents the Faculty of Management. Must exercise tact and diplomacy when interacting with a diverse range of internal and external stakeholders, including : UBC senior administrators, staff, students, alumni, faculty, community organizations, and external educational institutions and professional associations.

Decisions made directly affect the effective and efficient operations of the Faculty of Management and UBC. They can create legal and financial liabilities for the University, and affect the public image of the University.

Poor decisions and lack of tact, diplomacy, or sensitivity could result in missed opportunities, damaged relationships, legal / financial issues, and loss of credibility for the University.

This position requires employees to work under strict confidentiality requirements, and internal procedures and policies to protect personal information must be followed.

Supervision Received :

Works under the overall direction of the Dean, working with the Faculty's leadership team in line with the Faculty's strategic plans.

Under broad direction, works independently, applying established strategic priorities and principles and exercising considerable independent judgment and initiative in the application of concepts and implementation of strategies and initiatives, and in addressing complex matters.

Keeps the Dean well informed of actions through reports and discussions.

Supervision Given :

Maintains strategic leadership of the Faculty operations, including directs and leads M&P and BCGEU staff.

Qualifications : Minimum :

Minimum :

Undergraduate degree in a relevant discipline. Minimum of five years of related experience, or the equivalent combination of education and experience.

Willingness to respect diverse perspectives, including perspectives in conflict with one's own. Demonstrates a commitment to enhancing one's own awareness, knowledge, and skills related to equity, diversity, and inclusion.

Preferred :

Master's degree in a relevant discipline. Extensive knowledge of the University's and the Faculty's academic environments and culture, including the academic programs in the Faculty.

Knowledge of policy development and implementation processes in universities, and the ability to manage projects and task forces, are required.

Demonstrated understanding and knowledge of Indigenous Peoples in Canada, and their cultures, histories, and traditions.

Ability to lead and make decisions informed by awareness of historical and contemporary Indigenous issues, norms, and standards relevant to the promotion and protection of Indigenous rights.

Experience developing strategic plans, resource models and reports. Demonstrated people management experience within a unionized environment.

Demonstrated experience in a leadership role, including the ability to lead a team of individuals to build programs and execute strategic plans.

Comprehensive understanding of university / public sector governance, policies, procedures, and culture. Ability to lead by example and value differing perspectives and backgrounds in a diverse work environment.

Knowledge of emerging trends and best practices in higher education. Knowledge of marketing and strategic communications (including digital media campaigns), delivery and evaluation / assessment.

Ability to provide inclusive and strategic leadership, set a vision, collaborate and build teams in a complex environment.

Demonstrated autonomy in performing responsibilities that align with direction and strategy emerging from consultation. Strong presentation, verbal and written communication skills with the ability to articulate complex ideas in easy-to-understand terms to all levels of management, including senior leaders.

Ability to effectively manage multiple competing priorities with high attention to detail. Capable leader in change management processes, the adoption of which yield increased organizational benefits.

The position requires a high degree of independent, executive decision making, an ability to assess and implement work required to achieve objectives, strong organizational skills, diplomacy, and the ability to provide leadership in creating positive and supportive work environments.
