Bilingual Order & Shipping Coordinator Remote
Our client in the printing industry is seeking two skilled professionals to oversee the coordination and tracking of equipment and order deliveries.
These roles will focus on essential functions such as equipment monitoring, pre-delivery and delivery coordination, and detailed reporting, ensuring smooth project management across client sites and effective communication with key contacts.

Responsibilities :
Equipment Monitoring : Track individual orders through IMP1, manage escalations for delayed orders, verify equipment accuracy, and address any issues.
Perform quality checks on ValueQuix orders, maintain the XOS Order Tracking Spreadsheet (Shipping Log), and coordinate with carriers for scheduling, zone runs, and problem resolution.
Pre-Delivery Coordination : Schedule and conduct site walk-throughs, confirm site readiness, and verify availability of customer resources.
Arrange for training and installation teams (Analyst, 3rd party / Work Nexus, Superior) and distribute necessary materials, including asset tags and installation documentation.
Support the Implementation Manager and / or Implementation Lead with procedural guidance and escalations as needed.
Delivery Coordination and Communication : Serve as the primary contact for daily implementation planning and escalations, ensuring equipment delivery accuracy and addressing any defective devices.
Oversee training for on-site implementation resources, including carriers, 3rd-party installers, and trainers. Manage delivery, training, and installation confirmations with client contacts, coordinate the removal of disposed equipment, and finalize device status in XSM.
Reporting : Adhere to Black Belt project process flows, update Site Workbooks, and maintain the Daily Ship Log. Conduct status calls with account teams (VSE, PM, GPE) to review updates on the XOS Order Tracking Spreadsheet and ensure timely entry and validation of the Asset Disposition Report within a two-day SLA.
Use role-specific tools, including the Visibility Tool, A-tool, IMP1, and Microsoft Office Suite.
What you will need to succeed :
- Eligibility for governmental clearance.
- High school diploma or equivalent required.
- Certification A+ and N+ required.
- Bachelor’s degree, MCSE, CNE, or additional technical certification (preferred).
- 3+ years of experience in project coordination or administrative executive roles, including 3 years in project management.
- Strong organizational skills to manage multiple tasks and prioritize effectively.
- Bilingual in English and French with excellent communication skills to engage effectively with both internal and external clients.
- Strong problem-solving and analytical skills with a focus on customer satisfaction.
- Proficiency in Microsoft Excel for tracking and reporting, with attention to detail for reporting exceptions.
- Able to work independently and contribute positively in a team environment.
- Effective negotiation and presentation abilities, with experience in adapting to change under pressure.
- Willingness to travel as needed and ability to work from a virtual office setup.
