As a Project Manager, you are passionate about the built environment and are responsible for the planning, coordination, and delivery of architectural projects preliminary design through to construction and close-out. This role integrates understanding project objectives (design intent, technical requirements, regulatory constraints and client goals) with technical coordination, consultant coordination, project budget and schedule as well as MJM’s quality standards.
Key Responsibilities
1. Project Proposals
- Develop scopes of work for new project proposals based on design objectives, technical
requirements, and client needs along with fee comparison tables of previous projects informed
by historical project data.
Manage RFPs to consultants, including obtaining quotes, preparing comparison matrices, and supporting client recommendations.2. Project Coordination & Delivery
Coordinate all phases of projects from pre-design through construction and close-out.Collaborate with the Principal Architect, internal technical team, engineers, consultants, andcontractors to maintain alignment on scope, schedule, and quality.
Monitor project progress, identify risks or constraints, and implement timely solutions.Coordinate site visits and site review notes.3. Documentation & Permitting
Organize and manage project documentation, including contracts, drawings, schedules,reports, and approvals.
Manage permitting documentation, sealing of drawings, and compilation of building permitpackages.
Liaise with Vancouver Island municipalities regarding submissions, requirements, andresponses.
Track RFIs, submittals, shop drawings, change orders, and project estimates.Produce documents for client sign-off and other internal project processes.4. Project Financial Health
Monitor project financial health through resource allocation, fee monitoring, and schedulealignment.
Identify and proactively manage scope creep.Enter, update and manage projects in BQE software, including Gantt charts, project hours,follow-ups, and deadlines.
Support Additional Service Notification (ASN) scoping, tracking, and billing readiness.Support tendering, contractor selection, and CCDC contract administration.Create certifications of payment and certificates of completion.5. Communication & Meetings
Facilitate project team meetings, including agendas, minutes, and action tracking.Coordinate internal weekly meetings and prepare follow-up documentation.Prepare high-level presentations and reports for clients and municipal stakeholders.6. Construction & Close-Out
Prepare site review documentation throughout construction.Coordinate project close-out documentation and final inspections.Resolve outstanding issues and produce internal close-out reports.7. Systems & Process Improvement
Contribute to the development of systems and processes supporting project delivery.Identify opportunities to improve efficiency, consistency, and collaboration as the firm grows.Required Qualification
2+ year of Project Management in Architecture & Engineering or Construction industry.Understanding of architectural process, from scoping to construction and close-out a definite asset.Ability to interpret drawings, consultant inputs, and technical documentation also an asset.Experience working with municipality and permitting processes, submissions, and approvals.Proven ability to manage schedules, timelines and project financial health.Solid written and verbal communication skills.High level of organization, attention to detail and ability to manage multiple priorities.Interest in improving systems, processes, and ways of working within a growing practice.Emotional intelligence, self-awareness and capacity for auto-regulation.Respect, grounded demeanour with an ability for courageous conversation.Ability to give and receive feedback constructively.Salary :
Starting at $75,000 commensurate with experience.
