Administrative Assistant – Accounts Payable

At Agregat, we’re seeking an Administrative Assistant to handle everything related to accounts payable : invoice entry, payments, follow-ups, reconciliations… plus a little help with receivables and month-end tasks. If you like things up-to-date and well-organized, you’ll feel right at home here!
- Verify and record pre-authorized payments (PPA)
- Prepare bank transfers and checks for requisitions, garnishments, sponsorships, etc.
- Perform weekly bank transfers;
- Review supplier statements each month.
Accounting – Account Payable
Create suppliers in Acumatica and sync with Acceo TransphereEnter invoices, validate purchase orders against invoices, and correct as needed in collaboration with the buyerMonitor the payables email inbox and incoming documentsForward certain invoices to the assistant controllerKeep the equipment rental tracking sheet up to dateAnalyze the monthly report of received items not yet invoicedAccounting – Accounts Receivable
Prepare month-end accruals (suppliers, Toromont, rental equipment)Assist in producing annual reports (excise tax, TP1086 form)Manage sending year-end notices to suppliers.QUALIFICATIONS
Accounting certificate3 years of relevant experience in a related field
Strong written and spoken FrenchSKILLS
Excellent proficiency in Excel and Microsoft Office SuiteGeneral knowledge of administrationExperience with accounting software (Acumatica is an asset)Discretion, accuracy, and attention to detailClear communication and professional attitudeInitiative and good judgmentMethodical, structured, and comfortable with repetitive tasksAbility to follow precise methods and accept regular work checksThank you for showing interest in the post.
