Position Overview & Requirements

About the Role

TriCoast Renovations is seeking an exceptional Front Office Coordinator to serve as the operational backbone of our renovation business. This role blends administrative excellence, customer service leadership, working closely with sales, project managers, field operations, installers, subcontractors, vendors, and clients.

Bilingual Requirement (Mandatory)

This role requires a fully bilingual candidate who is fluent in English and French, both written and oral, and able to communicate professionally with clients, vendors, field teams, and internal stakeholders in both languages.

Key Responsibilities

Front Office Administration & Customer Experience

  • Provide high-level administrative support to ensure day-to-day operations run smoothly across teams and regions.
  • Deliver a compelling customer experience by responding to inquiries, troubleshooting issues, and documenting all interactions in BuilderTrend (or equivalent systems).
  • De-escalate customer concerns through empathy, professionalism, and solution-oriented communication—ensuring customers feel heard and supported.
  • Direct customers to the appropriate internal departments while maintaining ownership of follow-through and resolution.
  • Support cross-functional needs and special projects as required, contributing to operational improvements and process consistency.
  • Identify opportunities to enhance customer satisfaction, improve workflows, and strengthen internal communication and service standards.
  • Collaborate closely with teammates and leadership using a “One Team” approach, including supporting training and mentorship for peers and new hires.
  • Support various cross-functional projects as needed
  • Listen to client inquiries and take the appropriate problem-solving steps
  • Aid various departments and needed.
  • Deliver a compelling customer experience by resolving inquiries, troubleshooting issues, and documenting all interactions in Builder Trend.
  • De-escalate situations through empathy, understanding, and empowerment, ensuring customers feel heard and supported.
  • Support cross-functional needs by directing customers to the appropriate departments.
  • Drive continuous improvement by identifying opportunities to enhance processes and customer satisfaction.
  • Collaborate closely with teammates and leadership, following a “One Team” approach and supporting training / mentorship for peers and new hires.

  • Technical Proficiency

  • Strong proficiency with Microsoft Office Suite, Outlook, Teams, SharePoint, and ability to learn new platforms quickly.
  • Familiarity with Buildertrend Construction Software is considered a strong asset.

  • Ability to work independently and collaboratively under deadlines while maintaining exceptional attention to detail.
