Forge Recruitment is partnered with our client, a leading Canadian litigation boutique law firm, located in downtown Toronto, in their search for an Executive Assistant to provide 360 executive-level administrative support to a senior partner.
About The Role
In the role of Executive Legal Assistant, the successful incumbent will hold a wide range of responsibilities, including, but not limited to :
- Extensive calendar and court schedule management, ensuring the partner's day is on track, changes are updated regularly, and overlapping appointments are always avoided.
- Researching, organizing, and booking travel for the Partner, lawyers, including accommodations, private arrangements, transportation services, dinner reservations and preparing comprehensive travel itineraries.
- Using professional judgment to keep Partner up to date on any changes, issues, or concerns on any professional matter.
- Preparing required documentation in advance of all meetings, court appearances and speaking engagements.
- Managing and prioritizing all communications, including screening incoming telephone calls, handling all correspondence, and responding in a timely manner on behalf of the Partner.
- Managing and coordinating intake calls from potential clients via telephone or email.
- Carrying out diverse and far-ranging personal requests and ensuring ad-hoc requests are completed in a timely manner.
- Handling highly sensitive and confidential information relating to the professional and private activities of the partner.
- Managing media inquiries, calls, and requests while following proper protocol as per partner's instructions.
- Other tasks as assigned.

THIS ROLE OCCASSIONALLY REQUIRES FLEXIBILITY TO WORK EVENINGS AND WEEKENDS DURING SPECIAL PROJECTS OR EVENTS. Due to the nature of the partner's practice, the firm is unable to accommodate work-from-home requests.
What You Bring
As the ideal candidate, you possess 5+ years' experience in an Executive Assistant role with comprehensive experience supporting a C-Suite executive (experience in a law firm environment considered an asset).
You thrive in a fast-paced environment and have a track record of adjusting to shifting priorities while simultaneously and successfully completing numerous short and long-term goals.
You possess excellent communication skills, both written and verbal, including grammar, spelling, and syntax. You are proficient in the use of the MS Office Suite, Adobe and iManage (or similar).
