Responsibilities
- Preparation for all meetings with relevant materials and information.
- Prioritize and manage multiple tasks simultaneously, ensuring deadlines are met.
- Act as the primary point of contact for internal and external communications, including managing emails, phone calls, and correspondence.
- Draft, proofread, and edit documents, presentations, and reports as needed
- Maintain confidentiality and handle sensitive information with the utmost discretion
- Meeting Coordination
- Prepare agendas, take meeting minutes, and follow up on action items
- Coordinate and organize events, workshops, and other professional engagements
- Liaise with team members, clients, and partners to ensure effective communication and collaboration
- Arrange travel itineraries, accommodations, and transportation for both business and personal trips.
- Handle logistics for speaking engagements, conferences, and other events.
- Assist with managing ongoing projects, ensuring they are on track and align with strategic objectives.
- Coordinate with various departments to ensure tasks are completed efficiently and effectively
- Help prioritize tasks and manage to-do list to ensure focus on high-impact activities
- Provide personal support as needed, including handling personal errands, managing household tasks, and -coordinating with family members.
- Manage personal appointments, reservations, and special requests.
- Handle expense reports, reimbursements, and budget tracking.
- Maintain organized records and files, both digitally and physically.
- Conduct research and prepare briefs or reports on various topics as requested.
Qualifications
- Proven experience as an Executive Assistant, Personal Assistant, or similar role supporting a high-level executive.
- Excellent organizational and time-management skills with the ability to prioritize tasks effectively.
- Strong written and verbal communication skills in English (French is a plus).
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and other relevant software.
- Ability to work independently, with a proactive approach to problem-solving and a strong attention to detail.
- High level of professionalism, discretion, and confidentiality.
- Ability to adapt to changing priorities and work well under pressure.
- Flexibility to occasionally work outside standard business hours.
