Engineers and Geoscientists British Columbia is currently searching for a Program Coordinator (Mentoring and Events) to join our team in Burnaby!
The Program Coordinator is responsible for coordinating, continuously improving and organizing all aspects of Engineers and Geoscientists BC’s Mentoring Program, Induction Ceremonies, and leading events management for other departments within EGBC, as required.
This role also supports Engineers and Geoscientists BC’s Students Program.

WHAT YOU WILL BE DOING Leads, continuously improves and organizes all aspects of Engineers and Geoscientists BC’s Mentoring Program, including the development, maintenance, and improvement of the program; is responsible for matching mentors with mentees.
Responsible for meeting and reporting on the Key Performance Indicators and targets set for the program.
Promotes and develops the Mentoring Program to maximize participation, including writing and implementing a marketing plan, coordinating, writing and developing promotional materials, and delivering presentations to promote the program at events; researches and evaluates new developments in mentoring such as virtual mentoring and their effectiveness for achieving the learning objectives of the program; conducts ongoing evaluation of the program including conducting surveys or focus groups; and looks for ways to improve the program.
Maintains and updates mentoring pages of the Engineers and Geoscientists BC website, as required.
Develops and sources resources for mentors and mentees as well as develops content and material for training sessions for program participants, which is delivered in person twice per year with an online option; collaborates with the Registration Department to ensure that the training program meets program goals.
Collaborates with the IT department to improve and to maintain the current mentoring program database.
Provides support to program participants, handles program inquiries, and communicates with internal stakeholders to ensure all departments are aware of current initiatives.
Organizes all aspects of Engineers and Geoscientists BC-hosted mentoring events including the Mix & Mingle event, Training Sessions, and Professional Development Sessions.
Assists in the development of the budget for the mentoring program and is accountable for aligning expenditures within this budget.
Is accountable for supporting volunteers for the Mentoring program.
Coordinates the production and execution of the Engineers and Geoscientists BC-hosted induction ceremonies.
Coordinates a team from multiple departments charged with the delivery of the induction ceremonies; develops and tracks the budget for these events; carries out research into location options and makes recommendations for venue selection; oversees and leads, as necessary, contract negotiations with venues, vendors, and contractors.
Develops the detailed project plan to produce the events and to monitor and track progress and effectively allocate resources to activities.
Ensures the project deliverables are achieved on time, within budget and to the established policies and practices of the association.
Is responsible for establishing and maintaining the events management centre of excellence in supporting other departments at EGBC with the design and execution of events to ensure consistency and efficiency of execution.
This includes establishing and improving business processes involved in supporting all departments within EGBC in event management.
Liaises with all other departments in event creation and management.
Assists in coordinating elements of Engineers and Geoscientists BC’s Student Program, as required.
Participates in the organization and on-site or virtual delivery of the annual conference.
Duties may include administrative support, customer service, website maintenance and content management, conference registration, coordination of sponsors and exhibitors, or other responsibilities as required.
Travel includes day travel within the Lower Mainland for various events throughout the year and an overnight trip for travel to Engineers and Geoscientists BC’s annual conference and AGM.
Other duties as assigned by direct leader and, as appropriate, members of the departmental leadership team.
WHAT YOU BRING TO THE TABLE The successful applicant will possess the following : Bachelor’s degree in Marketing, Communications, Business Administration, or related field.
2-4 years of relevant previous experience in event planning and program coordination.
Ability to work both independently and collaboratively.
Project management skills.
Analytical and problem-solving skills.
Proficiency in core MS Office programs and experience in working with databases.
