Orix provides geological and geomatic expertise for juniors, mid-tiers, and majors.

Position

Reporting to the CFO & Financial Administrator, the Payroll & AP / AR Administrator is responsible for working closely with the Financial Administrator to maintain day to day financial transactions by establishing accounts, posting transactions and ensure legal requirements are compliant. Additionally :

Qualifications

  • College education or relevant formal training in Business Administration or Bookkeeping
  • 1 - 3 Years relevant experience
  • Solid understanding of basic bookkeeping and accounting payable / receivable principles
  • Experience with QuickBooks for basic accounting purposes (Accounts payable and Accounts Receivables) preferred
  • Experience with MS Office and Excel; Ability to produce reports using advanced excel functions a definite asset
  • The ability to work effectively with minimal supervision
  • Superior communication, interpersonal skills, and customer service skills combined with a strong attention to detail and high degree of accuracy, integrity and confidentiality

Job Responsibilities

Accounts Receivable

  • Manage outstanding accounts receivable and take action as necessary to ensure timely received payments as appropriate
  • Prepare monthly invoices
  • Receive payments into QuickBooks
  • Take deposits to bank

Payroll

  • Prepare and process semi-monthly payroll for all staff
  • Prepare timesheets for each pay period for approval
  • Maintain and create payroll reports as needed

Accounts Payables

  • Maintain vendor & client files and folders (electronic and paper)
  • Issue accounts payable payments in a scheduled weekly process
  • Process and issue employee expense payments (obtaining approval from authorized supervisors / directors)
  • Manage company credit cards
  • Manage bank accounts and make transfers as needed
  • Create expense invoices monthly

Other Accounting Duties as Needed

Accounting (Month End / Annual)

  • Reconcile the bank and VISA accounts
  • Prepare and make government tax payments
  • Administer month end management summary reports
  • Maintain the administration files and folders on the server
  • Complete annual reconciliation of WSIB, Amortization, EHT, Pension, Statistics Canada and others
  • Assist in preparation for year-end financials / Audits
  • Maintain asset list ie. pc’s and software
  • Complete remittances and reconciliations of WSIB, WSCC, EHT and others as required

Other Duties

  • Work alongside and support other colleagues as necessary
  • General administrative duties as required
  • To liaise with staff in other Group companies and other offices on matters of mutual interest
  • To carry out any other task which may be reasonably expected for the promotion and support of our business throughout the world
  • Any other such duties as may be determined by your reporting manager
