Job Description
The Events Coordinator position is full time (35 hours / week on average) commencing on or around June 8th, 2026 and finishing on or around August 28th, 2026 .
Roles and Responsibilities of the Events Coordinator
The Events Coordinator will plan, administer, and deliver special events and outreach programs. This will include the extension of delivery of programs developed and tested with the support of Canada Summer Jobs funding last summer, as well as program delivery at local and regional community festivals and events.
The selected applicant(s) will begin in June with detailed and thorough health & safety and emergency management training. At this time, should the selected candidate require it, the Foundation will schedule courses to provide them with Standard First Aid & CPR training, as well as Wilderness First Aid training (pending availability), Canoe training (ORCKA level 1-4), and any other identified standard training courses based on the activities planned for the programming.
Following this, they will coordinate with senior Bluewater Education Foundation Staff to learn the BOEC’s programming, and the scheduled delivery times and locations through the summer. The Events Coordinator(s) will take over communication with scheduled program participants and festival partners, location hosts, and First Nations partners, and continue advertising to increase the reach of the developed programs.
The Events Coordinator(s) will also collect feedback from programming and events to improve the quality of the programming as well as to grow sustainable funding sources for the programs moving forward. They will receive training on the process of budgeting for the day-to-day operations of the program, and maintain this budget through the summer.
The selected candidate will receive direct instruction on the skills needed to communicate effectively with parents of attendees and other staff. They will then take the lead role in communicating with parents of attendees both before their arrival and while their children are in attendance at programs. This will include ensuring registration information is completed in whole and that staff have access to it when and where necessary, but that this information is maintained with respect to the families’ privacy; sharing important information about program activities and requirements; communicating good news stories to parents and the community; following up on incidents that take place at the programs with tact and a problem-solving approach; and collecting impressions of the experience after the conclusion of each program.
In the final week of the summer, the Events Coordinator(s) will debrief, and manage the process of gathering, storing, and disposing of assets used in the programming. They will also prepare a report for delivery to the Foundation Board of Directors, outlining the successes and challenges of the programs, and important aspects to retain or improve upon for the following summer.
Along with these core responsibilities, the Events Coordinator(s) will represent the Bluewater Education Foundation at festivals and events throughout the region, schedule and coordinate support for these events with the BEF’s Camp Counsellors, and provide support and relief for camp counsellors to support their opportunities to develop new and innovative programming.
This position may include some overnights, weekends, and evenings. Overtime will be accumulated over the course of the summer, and paid out at time x 1.5 after the end of the work term.
