Job Summary
The Transportation Operations Officer is responsible for providing daily administrative and process support to the Regional Superintendent and associated territory.
The incumbent is also involved in labour relations for grievance management and directly supervises couriers and drivers, who are accommodated non-unionized employees.
Main Responsibilities
Administrative Support
- Assist with derailment responses (coordinate and arrange senior travel, charter flights, accommodations, supplies, etc.)
- Provide administrative support for the zone (develop and maintain accurate files, order supplies for 5 locations, process and audit invoices, provide reports and documentation)
- Provide adequate support to the Regional Superintendent and Assistant Superintendent
- Arrange for facility, fleet and radio maintenance
- Handle waste pickup frequency
- Manage inquiries, supplies and room shortages related to hotel rooms for crews and for training
- Oversee and run issues with the building’s Janitorial service and maintenance
- Coordinate and attend annual staff meetings, town hall sessions and safety summits
- Provide reports and respond to inquiries from Business Managers
Reporting
- Provide reports to the Regional Superintendent and General Manager
- Review and monitor Performance Monitoring Compliance Rules and initiative targets, Attendance Management System (AMS) for the zone, onboarding, flagged employees and Employee Performance Scorecards
- Attend health and safety meetings and review all the minutes to ensure proper follow ups are made
Communications
- Handle the Regional Superintendent’s confidential correspondence
- Oversee issues related to the Performance Assessment Process and Employee Dashboard
- Handle disciplinary communications
- Issue bulletins, ensure timely and accurate information is indicated in accordance with the Canadian Rail Operating Rules
- Handle zone digital signage
- Carry out Step 2 grievances, disciplinary adjustments and draft employee letters
Financial Support
- Work with financial partners to ensure proper capturing of expenses
- Handle the zone’s expenses
- Validate and prepare the expense reports (OCS) for approval, with the exception of Trainmasters
- Verify taxi and waste management expenses, cost centres, manage office supplies with supplier and Wireless spending and usage
Labour Relations
- Review employee assignments and provide feedback
- Oversee discussions relating to working conditions
- Actively participate in staffing activities
Working Conditions
The role has standard working conditions in an office environment with a regular workweek from Monday to Friday. Due to the nature of the role, the incumbent must be able to meet tight deadlines, handle pressure, and stress.
Requirements
Experience
Administrative
Minimum 5 years of experience performing administrative duties
oExperience in the railway industry*

Education / Certification / Designation
- High School Diploma
- Technical Degree in Office Administration, or equivalent*
