Job description

Position: HR and Payroll Administrator

Job Type: 18-Month Contract, Full-Time, 14/7 Rotation

Location: Edmonton or Calgary, Alberta to start, then site-based in Kitimat, British Columbia

Pay Range: $60,000 to $80,000 annually, plus an additional 25% of base salary

Purpose of the Role

SB Canada is hiring HR and Payroll Administrators to support the workforce on a major industrial deep foundations project in Kitimat, BC. You will own the people side of site administration: hours and timekeeping, payroll inputs, workforce records, rotations and project HR administration.

You will also coordinate the logistics that keep a rotational workforce moving, including flights, camp, accommodation, bussing and rotation changes. This is a site-based role on a 14/7 rotation.

Key Responsibilities of the Role

HR administration

  • Be an active participant and key stakeholder in SB Canada’s Health and Safety Program, helping to build a positive safety culture.

  • Assist with onboarding and offboarding for site personnel.

  • Maintain and update employee data in the company’s HR information system.

  • Act as a point of contact between management and employees on employment matters, including concerns and grievances.

  • Stay current on human rights and employment standards legislation in the jurisdictions where we work, and help managers and the company stay compliant.

  • Maintain confidentiality and comply with privacy standards when handling employee and payroll information.

Payroll and timekeeping

  • Enter and verify timesheets in the company’s timekeeping system.

  • Create payroll profiles in Payworks for new craft hires.

  • Work with site supervision to ensure accurate time entry and resolve issues; assist with time entry as needed.

  • Process employee changes and adjustments with proper authorization and within payroll deadlines.

  • Maintain accurate payroll records reflecting changes in employee status, job titles, departments, divisions and exemptions.

Travel, camp and workforce logistics

  • Book orientation, camp, hotels, flights and bussing for SB Canada workers and subcontractors.

  • Coordinate and manage flight manifests, and arrange transportation for arrivals and departures.

  • Maintain and update the project manpower and rotation schedule.

  • Track active travel requests and handle changes, special requests and cancellations efficiently.

  • Ensure all travel follows project and business guidelines.

  • Maintain detailed records of all changes.

Project support

  • Perform project administration duties as required.

  • Follow project rules, camp policies and company policies.

  • Complete other tasks assigned by the Project Manager or Superintendent.

Qualifications – What Will Make You Successful
Education
  • Diploma or certificate in Human Resources, Business Administration, Payroll or a related field, or an equivalent combination of education and experience.

Experience
  • 3+ years of experience in payroll and human resources, timekeeping, or project administration and logistics.

  • Experience processing payroll for an hourly or craft workforce.

  • Experience coordinating travel and accommodation for a rotational workforce.

  • Project site or camp experience is an asset.

Soft Skills
  • High attention to detail and accuracy under tight payroll deadlines.

  • Discreet and trustworthy with confidential information.

  • Calm, organized and responsive when plans change at short notice.

  • Approachable communicator with workers, supervisors and vendors.

  • Comfortable with remote site work, camp living and a rotational schedule.

Preferred Skills
  • Experience with Payworks or a similar payroll platform.

  • Working knowledge of BC, Ontario, and Alberta employment standards.

  • Strong Microsoft Excel skills for tracking schedules, manifests and records.

Required Designations or Certifications
  • Valid driver's license
