About the Opportunity

• Oversee and ensure that all accounts payable and purchasing documents are processed efficiently, accurately, and in a timely manner.
• Provide internal and external customer service.
• Review AP invoice coding to ensure:
  • Costs and taxes are captured properly.
  • Invoices have appropriate approval from Operations.
  • No duplicate invoices or payments exist.
  • Vendor tax registration numbers are validated.
• Log and resolve AP system issues with IT Support.
• Manage all month-end AP accruals and perform month-end close routines for associated AP reporting.
• Reconcile the AP subledger to the General Ledger and resolve any variances identified within 10 days of month-end close.
• Prepare monthly reporting of key performance indicators for Operations and present findings to the Operations team and management (e.g., cost analysis to census).
• Ensure all outstanding cheques over 60 days are cleared (voided or re-issued if needed).
• Review month-end payables to ensure all outstanding items over 90 days have been resolved.
• Review month-end records to ensure no future-dated invoices exist.
• Process expense reports.
• Reconcile expense reports to credit card statements and process all credit card payments.
• Manage new supplier credit applications, new vendor invoice approvals, and EFT payment setup.
• Balance all AP intercompany transactions.
• Prepare daily bank deposit slips and process cheque deposits through the office bank machine.
• Continuously identify opportunities to strengthen internal controls, improve AP processes, and reduce rework/manual work.
• Support the rest of the accounting team as required.
• Assist with other duties or special projects assigned by management.

About You

• Excellent written and verbal communication skills.
• Minimum 5 years of related experience.
• Strong data entry skills, with an emphasis on efficiency and accuracy in a high-volume environment.
• Proficiency with accounting systems: NetSuite and QuickBooks.
• Excel skills required; PivotTables and VLOOKUP desirable.
• Ability to work overtime during month-end/year-end close, if needed

Pay Range

$25 - $27 / hour
