Job Summary
The Government of Alberta Appeals Commission is seeking a temporary Appeals Assistant to provide administrative, hearing coordination, stakeholder support, and document management services for workers' compensation appeals.
The Appeals Assistant will be the primary point of contact during appeal hearings and will support Appeals Officers, Hearing Chairs, Commissioners, internal stakeholders, and external parties throughout the pre-hearing, hearing, and post-hearing processes.
Key Responsibilities
- Provide administrative and clerical support to Appeals Officers and Hearing Chairs.
- Prepare and distribute correspondence and create Document Indexes for Appeal Documents Packages (ADPs).
- Coordinate hearing logistics, including in-person, teleconference, and video hearings.
- Provide instructions and support to hearing participants and respond to stakeholder inquiries.
- Attend and record hearings and troubleshoot technical or procedural issues.
- Support parties during distress, emergency, or crisis situations.
- Maintain accurate appeal statuses, timelines, and records in ACES.
- Track submissions, hearing updates, adjournments, and other appeal-related information.
- Format, proofread, edit, and quality-check Hearing Chair decisions.
- Ensure decisions comply with approved style and formatting standards and are publication-ready for CanLII.
- Work with Hearing Chairs and IT/support teams to resolve errors, omissions, and process issues.
Requirements
Required Qualifications
- High School Diploma/GED.
- 2+ years of relevant administrative or similar experience.
- 2+ years using Microsoft Office Suite.
- 2+ years working in a fast-paced environment involving problem-solving and troubleshooting.
- 2+ years working with clients/stakeholders and coordinating business requirements.
- Experience adapting to new business environments, coordinating with vendors, managing stakeholder relationships, and facilitating collaboration.
- Strong verbal and written communication skills.
- Excellent organizational, prioritization, and multitasking skills.
- Strong attention to detail.
Nice-to-Have
- Post-secondary education in Office Administration.
- 2+ years of Information Governance, Records Management, or Information Management experience.
- 2+ years working with privacy/security and information management concepts related to ATIA/POPA (formerly FOIP).
- 2+ years working with Government of Alberta, 1GX, or a comparable Canadian public-sector ERP environment.
- 2+ years experience with workers' compensation systems such as WCB.
- Experience with ACES, appeal/hearing administration, decision preparation, or tribunal environments.
