Job description

Position:

Reports to: Executive Assistant
location: In person - Red Deer, Alberta

Compensation: From $18.76 $23.08 per hour

Primary Duties and Responsibilities

Reception:

  • Answer general phone inquiries using a professional and courteous manner
  • Direct phone inquiries to the appropriate staff members
  • Reply to general information requests with the accurate information
  • Greet clients/suppliers/visitors to the organization in a professional and friendly manner
  • Reserve parking spaces for visitors as required.

Administrative Duties:

  • Use computer word processing, spreadsheet and database software to prepare internal newsletter,
    record relevant information, memos and documents
  • Prepare, receive, sort and send outgoing faxes, mail and courier parcels
  • Forward incoming general emails, voicemail and faxes to the appropriate staff member
  • Make service inquiry documents available
  • Purchase, receive and store the office and program supplies, ensuring that basic supplies are
    always available
  • Record and maintain payments, notes and tasks in family files in database
  • Provide administrative support to management and staff
  • Initiate and coordinate the maintenance of office equipment
  • Receive and record payments, donations, and ticket sales and process through Chase merchant
    machine
  • Maintain workroom, library and waiting area, keeping them organized and clean
  • Maintain staff list of necessary documents for employee files,
  • Maintain Library by cleaning/shelving and checking books in and out.

Qualifications

  • Experience in a similar role; post-secondary education in Administration an asset
  • Excellent verbal and written communication skills
  • Attention to detail and the ability to work in a fast-paced environment
  • Experience with Microsoft Office Suite (or similar program); ability to work within database
