We are seeking a Client Services & Administrative Coordinator to join our team and play a key role in ensuring seamless operations and exceptional service for our clients. About the Role This position is a blend of customer service, office administration, and executive support, ideal for someone who enjoys working with clients while ensuring smooth day-to-day operations. You will be the first point of contact for client inquiries, manage scheduling, support business leaders with administrative tasks, and oversee office operations to ensure the team has everything they need to function efficiently. Key Responsibilities - Client Communication: Handle client inquiries via phone and email, ensuring timely and professional responses. - Scheduling & Coordination: Manage calendars, schedule meetings, and coordinate appointments for leadership and team members. - Administrative Support: Assist business leaders with tasks such as organizing documents, preparing reports, and handling office operations. - Office Administration: Order office supplies, coordinate office maintenance, and ensure a well-organized workspace. - CRM & Data Management: Maintain and update client records in the CRM system. - Billing & Invoicing: Assist with accounts payable/receivable (AP/AR) invoicing and related administrative tasks. - Cross-Team Collaboration: Work closely with recruiters, consultants, account managers, and leadership to support smooth business operations. - Problem-Solving & Client Service: Address client concerns, escalate issues when necessary, and ensure a high-quality client experience. - Other Duties: Support business needs as they arise. What We’re Looking For - Minimum 3 years of experience in administration, customer service, or business support. - Strong communication skills (written and verbal) and ability to handle client interactions professionally. - Highly detail-oriented with excellent organizational and multitasking abilities. - Ability to thrive in a fast-paced environment and manage multiple priorities efficiently. - Proactive, problem-solving mindset with a "can-do" attitude. - Strong computer skills, including proficiency in MS Office. - Experience working with CRM systems is an asset. - Ability to maintain confidentiality and handle sensitive information. Office Location: This role is currently based in Burnaby, BC, but candidates must be open to future relocation to Port Moody or the Tri-Cities area.
