Job description
Jim Pattison Toyota Victoria is seeking a personable and organized ServiceAppointment Coordinator to be the first point of contact for customers looking to book vehicle maintenance and this role you will manage incoming service inquiries schedule appointments and help customers understand what to expect when they bring their vehicle in. Your organization and communication will help ensure a smooth experience for customers and an efficient workflow for the Service Department.A Day in the LifeSchedule and confirm service appointments accurately and efficiently across phone email and online channelsGreet customers in a warm professional manner and gather vehicle and service information prior to arrivalCoordinate with Service Advisors to ensure appointment slots align with shop capacity and technician availabilityFollow up with customers regarding appointment reminders service updates and vehicle statusManage the service drive schedule to optimize workflow and minimize customer wait timesLiaise with the Parts Department to confirm parts availability ahead of scheduled appointmentsMaintain accurate customer and vehicle records within the dealership management systemHandle customer inquiries concerns and escalations with professionalism and a solutions-focused approachSupport the Service team with administrative tasks as required to maintain smooth daily operationsFollow all company policies procedures and safety standardsEnsure a high degree of confidentiality with company and customer informationParticipate in maintaining a supportive and engaging working environmentWhat Were Looking ForPrevious experience in a customer facing administrative or automotive service role is preferredExperience with dealership management systems or scheduling software is an assetExceptional communication and interpersonal skills both verbal and writtenStrong organizational skills with the ability to manage multiple tasks and priorities in a fast-paced environmentDetail oriented with a high degree of accuracy in data entry and record keepingAbility to remain calm professional and focused under pressureAbility to work effectively both independently and as part of a teamReliable punctual and dependableA valid BC Drivers License is requiredHow to ApplyIf this sounds like a great fit please apply with your resume today!Visit our Careers Page to explore other opportunities: This role requires successful candidates to submit a satisfactory Drivers thank all applicants for their interest; however only those selected for interviews will be are an equal opportunity employer and are committed to creating an inclusive and accessible workplace.
