About the Role:

Reporting to the Faculty Services Manager, the Academic Coordinator provides comprehensive administrative and academic coordination support for academic programs within the Faculty. The position ensures smooth delivery of student services, program operations, and departmental processes, while maintaining compliance with institutional policies, procedures, processes and timelines. The Academic Coordinator acts as a key resource for Faculty leadership, and instructors, supporting program administration, academic integrity and financial processes. Additionally, the position allocates approximately 20% of time to support other faculties and partners at the Burlington campus.

The Academic Coordinator will:

  • Coordinate administrative activities supporting academic programs, labs, and centres, including program planning, course scheduling, timetabling, and academic documentation;
  • Support quality assurance activities, including instructor and course evaluations, program reviews, and accreditation requirements;
  • Provide relevant information (, enrolment projections) to assist program with decision-making related to policy, course, or program changes;
  • Administer program and course change process via the undergraduate programs committee (UPC);
  • Liaise with individuals/departments involved in program matters, both internal and external to the program (, Registrar’s Office, Academic Advisors, Experiential Education Coordinators, Recruitment), and prepare communications and program updates;
  • Coordinate teaching budgets, including TA and marker grader assignments/ hours, developing budgets, assigning hours and revising plans in consultation with Chair(s);
  • Oversee TA and Instructor contractor entry, and support recruitment processes, including gathering requirements, tracking and ranking candidates, and ensuring compliance with collective agreements;
  • Monitor TA budgets and offers and review timetables to determine staffing levels and ensure sufficient coverage;
  • Support digital communications activities, including website updates, promotional materials, and content management, ensuring accuracy, consistency, and alignment with branding guidelines;
  • Monitor program and department budgets, identifying variances or issues as needed;
  • Support student lifecycle processes, including admissions, enrolment, registration, academic records management, degree completion activities, internship administration, and student engagement events; and
  • Collaborate with internal and external partners to support faculty operations, projects, events, and strategic initiatives.

Key Skills and Experience:

  • Diploma or degree in related discipline;
  • Experience in academic administration or program coordination;
  • Experience monitoring budgets, preparing reports, and working with financial systems;
  • Knowledge of academic policies, procedures, and academic integrity processes within a post-secondary institution;
  • Proficiency with computer systems and software applications;
  • Excellent communication and interpersonal skills;
  • Ability to manage multiple priorities, complex schedules, deadlines, and administrative processes in a fast-paced environment;
  • Strong organizational and time-management skills with attention to detail;
  • Promotes and embodies inclusivity and respect within the workplace and the broader community;

Preferred or Asset Skills:

  • Experience supporting academic recruitment, contract administration, or collective agreement interpretation;
  • Ability and willingness to learn and adapt to emerging technologies, including AI tools and platforms;

Salary and Total Rewards:

  • Job Grade (I), Salary Scale $52, - 84,
  • Target Hiring Range: $52, - 56,*
