Bookkeeper

Pay: Probationary Rate CA$26.84 After Probation CA$31.57 per hour

The hourly wage for this position is currently $25.00 per hour. Upon implementation of the collective agreement the wage rate will increase to $26.84 per hour during the probationary period and $31.57 per hour after successful completion of probation. Employees will also be entitled to retroactive pay as outlined in the collective agreement subject to confirmation and receipt of applicable funding. The timing of these changes will be implemented in accordance with the collective agreement implementation schedule over the coming months.

Location: Fernwood Neighbourhood House in-person on-site

Management status: Non-Manager

Reports to: Operations Coordinator

Direct Reports: None

Hours: Part-time position Monday-Friday. Scheduled shifts may fall between 5:00 pm - 9:00 pm

Position Summary

Fernwood Neighbourhood House is seeking an organized and detail-oriented Bookkeeper to support day-to-day financial and administrative operations. This role combines bookkeeping payroll support and general office administration in a community-based environment.

Key Responsibilities

  • Codes source documents such as invoices and receipts to the appropriate accounts.

  • Maintains and updates accounting records by performing duties such as recording and posting transactions in journals and the general ledger for accounts payable accounts receivable and payroll.

  • Prepares and issues invoices and follows up on late accounts in accordance with established procedures. Pays approved invoices.

  • Maintains bank account records; reconciles bank accounts and balances chequebooks.

  • Prepares various accounting summaries and reports. Compiles maintains and produces

  • statistics and reports of such records as seniority lists vacation entitlement and sick leave and overtime banks.

  • Submits forms to health and welfare benefit carriers to arrange for change and terminate coverage for employees. Assists employees in submitting claim forms. Maintains records of benefit enrolment.

  • Responds to inquiries and requests regarding payroll benefits and other bookkeeping duties. Follows up to resolve errors and discrepancies in accordance with established procedures.

  • Assists the accountant or financial manager in the preparation for audit and the production of financial statements budgets and other financial reports by performing such duties as providing related documentation preparing various accounting summaries and reports and compiling statistics.

2. Administrative Support

  • Screens and prioritizes incoming correspondence and other materials for staff members.

  • Tracks office or program expenditures by recording expenses and alerting the supervisor to budget overruns and unusual expenses. Maintains a variety of financial records such as petty cash fund purchase orders and cheque requisitions. Take payment and issue receipts when required

  • Collects researches organizes and summarizes data from a variety of sources and produces reports; Performs analysis of reported information; Keeps supervisor informed of problem areas or emerging trends and briefs them on any issues concerns matters and meetings.

  • Maintains client and program information using spreadsheet and/or database software.

  • Produces ad hoc reports from databases as required by the supervisor by identifying and organizing the required information compiling data designing format and printing reports.

  • Responds to outside inquiries about services offered by the organization.

  • Orients monitors and provides work direction to volunteers and/or practicum students.

  • Provides word processing data input and typing support such as correspondence meeting minutes forms and client information; drafts routine correspondence such as thank you letters client appointment letters and internal memoranda.

  • Assists in coordinating and completion of projects

  • Arranges meetings schedules appointments and makes travel arrangements; books rooms for meetings. Prepares agendas and takes minutes at meetings as required.

  • Coordinates facility rentals by opening and closing the building for evening and weekend rentals welcoming and assisting renters completing rental checklists and walkthroughs performing light setup and tidy-up duties to ensure the facility is clean and ready for use (ex. garbage out chairs stacked floors checked ensure washrooms are clean stoked and presentable) reporting maintenance or operational concerns to the Operations team and providing a safe professional and supportive presence during rental activities.

  • Performs other related duties as required.

Qualifications

  • Grade 12 plus up to two years post-secondary education in bookkeeping payroll or office administration

  • Minimum two (2) years related experience or equivalent combination of education and experience

Skills & Abilities

  • Strong attention to detail and organizational skills

  • Experience with bookkeeping and administrative systems

  • Ability to manage multiple priorities and meet deadlines

  • Proficiency with MS Office spreadsheets and databases

  • Strong communication and interpersonal skills

  • Ability to handle confidential information appropriately

Fernwood Neighbourhood House is a unionized workplace and this position is part of the BC General Employees Union (BCGEU) bargaining unit.

Wages benefits and other terms and conditions of employment are governed by the Collective Agreement. Please note that certain wage increases may be subject to the availability of funding. Where applicable and funding is received eligible employees may receive retroactive wage adjustments in accordance with the Collective Agreement and funding requirements.

Union dues will be deducted from employees pay in accordance with the Collective Agreement and BCGEU policies.
