Job description

About the Role

The Treasurer serves as the financial steward of the organization and plays a hands‑on role in day‑to‑day financial operations. As the Board is actively involved in operations, the Treasurer provides both oversight and direct support to ensure accurate bookkeeping, strong financial controls, and compliance with statutory requirements.

This role is ideal for a CPA experienced with small organizations, comfortable working in QuickBooks Online (QBO), and able to manage annual compliance filings.

Key Responsibilities

Financial Management & Bookkeeping

  • Oversee and regularly review bookkeeping activities in QuickBooks Online (QBO).
  • Support staff or volunteers with transactional bookkeeping, reconciliations, and financial processes as needed.
  • Authorize financial transactions and payments in accordance with internal controls and board policies.
  • Ensure appropriate internal controls for a small charity are in place and functioning effectively.
  • Review payroll submissions; note that a third‑party payroll provider is used, but periodic verification and approval are required.

Compliance & Reporting

  • Prepare and file the annual GST/HST return. Ensure timely payment of GST and instalments.
  • Prepare, review, and file the charity’s annual Registered Charity Information Return (T3010) with the CRA.
  • Ensure all statutory deadlines are met and compliance risks are minimized.

Financial Oversight & Board Support

  • Prepare monthly financial reports for the Board, including cash flow updates, budget‑to‑actual summaries, and financial risks.
  • Lead or assist with the development of the annual operating budget.
  • Prepare annual financial statements for presentation at the Annual General Meeting.
  • Advise the Board on financial sustainability, accounting best practices, and compliance matters for Canadian charities.
  • Participate in board meetings and provide clear financial insights to support decision‑making.

Operational Collaboration

  • Work closely with the Executive Director, staff, or volunteer teams on day‑to‑day financial questions, planning, and grant reporting.
  • Assist in improving financial processes, systems, and controls as the charity grows.

Qualifications

  • CPA designation required.
  • Experience with QuickBooks Online (QBO).
  • Strong understanding of Canadian charity regulations, including the T3010 and GST/HST filings.
  • Familiarity with payroll processes; experience working with payroll providers is an asset.
  • Strong attention to detail, high integrity, and a collaborative, hands‑on approach.
  • Commitment to the mission and values of the charity.

Term & Time Commitment

  • Standard board term (2–3 years).
  • Approximately 10–15 hours per month, with additional time required during annual reporting periods.
