Position : Administrative Assistant (12-18 Month Contract)

Location : Hearst, ON

GreenFirst is looking for an administrative assistant to complete all assigned administration, benefits and payroll tasks in a timely manner.

Our successful candidate will have a thorough understanding of payroll, great attention to detail, and strong time management skills.

Responsibilities :

  • Collecting and verifying timekeeping information for all employees
  • Calculating pay according to hours worked incorporating leaves and overtime
  • Promote and provide a safe workplace, seek improvements, support Health & Safety Program.
  • Support compliance with collective agreement and sound union / management / employee relations.
  • Act as the central point of contact between staff employees and internal and external communication.
  • Act as a support person for the lumber shipping department
  • Using an entrepreneurial approach, provide confidential administrative and payroll services to the General Manager and delegates.
  • Develop and maintain a good rapport between labour, customer, outside agencies, other users and management.
  • Participate in budget planning and monthly variance report review. Payroll functions
  • Provide confidential administrative services by preparing correspondence such as letters, memos, minutes, and reports and by providing support activities necessary for the Management group.
  • Support internal communication by developing and maintaining an efficient process, including internal advertising on televisions, bulletin boards, etc.
  • Ensure internal distribution lists are updated and accurate.
  • Review and streamline internal processes.
  • Compile, prepare and distribute reports as required.
  • Coordinate and support departmental and other meetings.
  • Prepare all documentation required to ensure that all equipment owners receive payment as per their contracts.
  • Prepare all invoices for payment in appropriate coding distribution.
  • Recommend changes and improvements to all internal processes

Requirements :

  • High School Diploma
  • Must be bilingual (English & French)
  • Proficiency in Microsoft Word & Excel
  • 1-3 years experience as an administrative assistant
  • Additional qualifications as an administrative assistant would be an asset.

GreenFirst est à la recherche d’un(e) assistant(e) administratif(ve) pour effectuer toutes les tâches d’administration, d’avantages sociaux et de paie en temps opportun.

L’individu retenu aura une connaissance approfondie de la paie, un grand souci du détail et de solides compétences en matière de gestion du temps.

Responsabilités :

  • Recueillir et vérifier les renseignements sur la comptabilisation du temps pour tous les employés
  • Calcul de la rémunération en fonction des heures travaillées incluant les congés et les heures supplémentaires
  • Promouvoir et fournir un lieu de travail sûr, rechercher des améliorations, soutenir le programme de santé et de sécurité.
  • Soutenir le respect de la convention collective et de bonnes relations syndicat / direction / employés.
  • Agir en tant que point de contact central entre les employés du personnel et la communication interne et externe.
  • En utilisant une approche entrepreneuriale, fournir des services administratifs et de paie confidentielle au directeur général et aux délégués.
  • Développer et maintenir de bonnes relations entre la main-d’œuvre, le client, les agences externes, les autres utilisateurs et la direction.
  • Participer à la planification budgétaire et à l’examen mensuel des rapports sur les écarts.
  • Fournir des services administratifs confidentiels en préparant la correspondance telle que des lettres, des notes de service, des procès-verbaux et des rapports et en fournissant les activités de soutien nécessaires au groupe de gestion.
  • Soutenir la communication interne en développant et en maintenant un processus efficace, y compris la publicité interne sur les téléviseurs, les babillards, etc.
  • Assurez-vous que les listes de distribution internes sont mises à jour et exactes.
  • Examiner et rationaliser les processus internes.
  • Compiler, préparer et distribuer des rapports au besoin.
  • Coordonner et soutenir les réunions départementales et autres.
  • Préparer tous les documents requis pour s’assurer que tous les propriétaires d’équipement reçoivent le paiement conformément à leurs contrats.
  • Préparer toutes les factures pour paiement dans la distribution de codage appropriée.

Exigences :

  • Diplôme d’études secondaires
  • Doit être bilingue (anglais et français)
  • Maîtrise de Microsoft Word et Excel
  • 1 à 3 ans d’expérience en tant qu’assistant(e) administratif(ve)
  • Des qualifications supplémentaires en tant qu’assistant(e) administratif(ve) seraient un atout.
