Role Overview :
We are seeking a highly organized and proactive Logistics Coordinator to manage daily freight operations and ensure shipments move efficiently and on schedule. This role is responsible for entering and managing orders in the Transportation Management System (TMS), sourcing carriers, negotiating rates, tracking shipments, and maintaining accurate documentation. The ideal candidate thrives in a fast-paced environment, communicates clearly, and takes ownership of their work.
Weekend availability is required for load tracking and customer support as part of cross-functional training.

Key Responsibilities
Order & Dispatch Management
Enter and manage customer orders accurately within the TMS
Verify all shipment details including pickup / delivery addresses, contacts, and reference numbers
Source carriers and negotiate competitive rates
Dispatch loads to carriers with all required instructions
Confirm customs broker details and update shipment records
Communication & Coordination
Handle incoming calls and emails related to shipments, rates, and availability
Provide same-day updates to customers and internal teams
Route communications to the appropriate department when needed
Maintain professional communication with carriers and customers at all times
Tracking & Customer Support
Track and trace shipments, including weekend coverage
Provide customers with shipment status updates via phone or email
Collect proof of delivery (POD) within a reasonable timeframe
Assist customer service with operational escalations
Documentation & Compliance
Save and organize shipping documents, customs paperwork, and packing lists
Maintain accurate records of quotes and shipment files
Ensure carriers meet insurance and safety requirements before booking
Update carrier, shipper, and consignee profiles
Support documentation flow between internal teams and carriers
Issue Resolution
Address service issues, delays, or accessorial charges
Coordinate resolutions with carriers and customers
Escalate complex problems when necessary
Qualifications
Strong verbal and written communication skills
Excellent customer service and relationship management skills
Highly organized with strong attention to detail
Ability to multitask and prioritize in a fast-paced environment
Strong problem-solving and decision-making ability
Calm and professional under pressure
Comfortable learning new software and systems
Proficient in Microsoft Office (Word, Excel, Outlook)
Strong typing and data entry skills
Self-motivated with a strong sense of ownership and accountability
Preferred :
Experience with TMS platforms such as TransPlus or Fleet Manager
Previous experience in logistics or transportation
