Job Summary :
We are seeking a highly organized and detailorientedAdministrative Assistant to join our team. The successful candidatewill be responsible for providing administrative support to ensureefficient operation of the office.
This role involves handling awide range of administrative and executive support tasks andworking independently with little or no supervision.
TheAdministrative Assistant will interact with staff at all levels ina fastpaced environment sometimes under pressure remaining flexibleproactive resourceful and efficient with a high level ofprofessionalism and confidentiality.
KeyResponsibilities :
General AdministrativeSupport :
- Manage andmaintain executive schedules including scheduling travel andconferences making appointments and ensuring meetingarrangements.
- Prepare reports presentationsand data as well as maintain files records and correspondence formeetings.
- Answer and direct phone calls andmanage incoming and outgoing mail.
- Greetvisitors and determine whether they should be given access tospecific individuals.
- Perform general officeduties such as ordering supplies maintaining records managementsystems and performing basic bookkeeping work.
Communication :
- Prepare and edit correspondence communicationspresentations and other documents.
- Coordinateand communicate with various departments within thecompany.
- Handle sensitive information in aconfidential manner.
Event Coordination :
- Plan and coordinate meetings conferences andevents including arranging logistics catering and preparingmaterials.
- Take detailed minutes duringmeetings and distribute them to relevant parties.
ProjectManagement :
- Assist inthe preparation of regularly scheduled reports.
- Develop and maintain a filing system.
- Coordinate projects and take on tasks as needed to ensureteam success.
Qualifications :
- Highschool diploma or equivalent required; Associate's orBachelor's degree preferred.
- Excellenttime management skills and the ability to prioritizework.
- Attention to detail and problemsolvingskills.
- Strong organizational skills with theability to multitask.
- Excellent written andverbal communication skills.
