We are currently seeking a Proposal Coordinator to join our Estimating team in Kamloops. This role is ideal for someone early in their career who has exposure to the construction industry and a strong interest in proposal writing and bid submissions, with the opportunity to grow into a more senior role over time. About the Role Reporting to the Estimating Manager, the Proposal Coordinator will take ownership of Infracon's proposal development process from RFP issuance through to submission. The role is primarily focused on proposal development, document coordination, and compliance, while providing hands-on exposure to estimating and bid preparation. This position works closely with estimators, project managers, subcontractors, vendors and internal stakeholders to ensure proposals and bids are accurate, professional, compliant, and submitted on time. In addition to proposal coordination, this position will manage and maintain proposal templates and content libraries. Who You Are You are an organized, analytical, and proactive coordinator with a minimum of two years of experience managing construction RFPs or similar proposal processes. You excel at process development, workflow optimization, and cross-functional collaboration. You are equally comfortable independently managing proposal schedules and coordinating inputs from vendors, estimating, operations, and company leadership. You have the ability to translate technical concepts into clear, compelling narratives and ensure all proposals meet compliance requirements and high standards of clarity and quality. You place strong value on accuracy, repeatable workflows, and the development of tools that support organizational growth. You also demonstrate curiosity and initiative in expanding your understanding of the civil construction industry, with a desire to take on increasing responsibility as your career progresses. Key Responsibilities Interpret solicitation documents and create compliance matrices, response outlines, and records of key information Prepares initial proposal drafts in accordance with RFP requirements, including gathering and / or drafting non-technical proposal content and requirements for response (e.g., bonding, insurance, corporate information, project descriptions / profiles, and key personnel resumes) Develop high-quality proposal content including technical sections, methodologies, management plans, and executive summaries Regularly follow up with operations, estimating, and leadership teams to ensure adherence to proposal milestones and deadlines. Create and maintain proposal templates, tools, and content libraries (resumes, project sheets, boilerplate content) Ensure all submissions meet formatting, branding, and quality standards Maintain marketing and proposal-related materials Maintain detailed notes from project debriefs to support continuous improvement of systems and processes Experience Required Minimum of 2 years of experience coordinating construction RFPs (civil, municipal, mining, or similar fields) or in a junior technical role (e.g., engineering) Post-secondary education in applied science, administration, marketing, business or a related field preferred Previous proposal or bid coordination experience considered an asset but not required Eligible to work in Canada Skills & Attributes Strong written and verbal communication skills Highly organized with excellent attention to detail Ability to manage multiple deadlines in a fast-paced environment Proficient in Microsoft Office (Word, Excel, Outlook); Bluebeam experience is an asset Professional, collaborative, and proactive approach to work Ability to produce professional diagrams and infographic materials considered an asset Work Environment & Compensation Infracon is proud to offer a competitive and comprehensive compensation package designed to support your well-being, growth, and success.
