SitePartners is seeking an organized and dedicated individual to join our team as an Office Administrator .

SitePartners is a specialized marketing agency built for the industrial sector. We solve business problems, build brands, and drive growth for the construction, manufacturing and resource sectors.

We are a full-service marketing partner that moves organizations forward.

Right now, we’re looking for an Office Administrator to join the Site team. This is someone who is an organization guru, brings a positive attitude and is a personable individual.

We’re looking to complement our rapidly growing team with someone who can help facilitate a productive and vibrant working environment for our team.

This position is full-time, salaried position working 100% in person from the SitePartners HQ located in Abbotsford, BC. That said, Part Time (30-35 hours) or fractional applicants will be considered.

Key Responsibilities :

  • Carrying out clerical duties such as answering phone calls, responding to emails, and preparing documents, including office correspondence, memos, and presentations
  • Welcoming visitors into the office and offering coffee, tea and snacks
  • Accept office deliveries and ensure it is sent to the correct team member
  • Coordinating and managing appointments, zoom meetings and travel arrangements
  • Support and manage event and production studio bookings
  • Maintaining general office files, and other files related to the company’s operations.
  • Assisting in organizing company / external events and building a great office culture
  • Support VP, Operations on usage of agency software tools (Productive, Rippling GSuite, Slack)
  • Project research, and information gathering
  • Assist President on special projects and other administrative requirements
  • Purchasing office supplies, equipment, and furniture
  • Overseeing the maintenance of office facilities, and equipment
  • Help transition the move from our current Cloverdale office, to our Abbotsford office
  • Clerical proficiency and attention to detail
  • Ensure tidiness and cleanliness of the office space
  • Performing other relevant duties when needed

Skills :

  • Minimum 5+ years relevant experience (Office Admin, Exec Assistant, Account Coordination)
  • Strong time management skills, problem solving skills, ability to work both independently and cross-functionally
  • Experience supporting or managing event bookings and logistics is considered an asset
  • Strong communication and client service skills with an impeccable attention to detail
  • Strong understanding of IT (Comfort with Mac Computers and Google Suite a strong asset)
  • A proven dedication to facilitating company culture and productive workplaces
