The Shop Admin role coordinates and performs administrative duties within the fabrication department. This position ensures accurate record-keeping, purchasing, communication with internal and external stakeholders, and timely processing of documentation, including time entry and accounts payable data entry. The role requires attention to detail, multitasking, and working in a fast-paced environment.
Essential Duties and Responsibilities :
- Perform administrative support tasks such as data entry, organizing files, and preparing reports.
- Communicate effectively with various internal departments, ensuring vendor invoices are processed into Landmark’s ERP system accurately and in a timely manner.
- Maintain payable invoice records in an organized fashion
- Researching invoice discrepancies with vendors and internal management.
- Respond to invoice inquiries from internal and external contacts.
- Perform daily time export from Landmark’s ERP system; reviewing, verifying, and correcting employee timecards as needed, ensuring accurate data entry into the payroll system.
- Organize project folders including drawings, purchase orders, MTR’s, ship lists and customs paperwork.
- Always act in a professional and courteous manner, representing the highest standards of business conduct, exhibiting a positive attitude, sharing information with co-workers as appropriate, and working to promote a cooperative, productive teamwork environment.
- Performs other duties as may be assigned by the Shop Manager
Experience Required
Minimum of 2 years of experience in a similar administrative role, preferably within construction, manufacturing, or fabrication industries.Experience with AP processes in a warehouse environment is a plus.Qualifications
