Provides administrative and clerical support to E-Staff and Senior Vice Presidents. This involves arranging complex travel itineraries, scheduling complex meetings with various types of media and manages interfaces with vendors, third party contractual service providers, investors, members of Board of Directors, and customers. Handles highly confidential documents.

This position will require hybrid work in the Dorval, Canada location

Responsibilities :

  • Coordinates meetings by managing complex calendars and potential conflicts for E-Staff members and Senior Vice Presidents
  • Provide administrative support to both remote and onsite employees, acting as a point of contact for onsite visits, meetings and team events
  • Arranges and coordinates highly complex international travel reservations and itineraries
  • Interacts with personnel at all organizational levels to coordinate activities, gather information, and prepare reports
  • Assembles materials for Board of Director and Committee meetings
  • Documents and finalizes meeting minutes
  • Handles highly confidential documents
  • Interfaces with vendors, 3rd party contractual service providers, investors, members of the Board of Directors and customers
  • Provides training and coaching for other administrative employees
  • Identifies, initiates and implements improvements of work processes and the department
  • Displays considerable judgment, initiative and political sensitivity

Qualifications : Required :

  • HS diploma or GED required
  • 6+ years of experience with 3+ years of experience supporting executive level roles
  • Advanced computer skills required; working with multiple software packages including word processing, spreadsheet, database and graphic / presentation packages
  • Experience working with various systems (travel systems, expense report, etc.)
  • Advanced work experience with memos, letters, reports with tables, tabulations, merge document work, creation of spreadsheets with formulas, creation of presentations and graphics
  • Ability to work in a matrix organization and follow through on clear commitment and agendas
  • Ability to work with a wide range of employees on different levels
  • Preferred :

  • Associates Degree or Above preferred
  • Bilingual in English and French Canadian preferred but not required
